Job Description Summary: Under general supervision, provides assistance in the utilization and understanding of benefit plans and programs. Serves as a resource for employee benefits information and processes. Responsibilities: - Serves as a resource and conducts individual and group employee benefits orientation sessions for new hires and newly benefit-eligible employees. - Processes new employee benefit enrollments, provides benefits information, and ensures employees have completed required tasks timely.- Counsels employees on benefits and retirement procedures. - Processes retiree changes and assists with decisions regarding benefits. - Conducts benefits exit processing for terminating and retiring employees, ensuring all benefits are reviewed with employee, and processed timely.- Assists employees and retirees with insurance and retirement related benefit questions, issue/claims resolutions, and entering and correcting data in Workday.- Counsels employees on benefits information and processing related to FMLA and Leave Without Pay.- Reviews and approves benefit events ensuring compliance with processes and procedures.- Ensures compliance with System Benefits procedures, the Consolidated Omnibus Budget Reconciliation Act (COBRA}, the Family Medical Leave Act (FMLA}, and other applicable State and Federal rules, policies, regulations and laws.- Reviews necessary forms and supporting documentation for accuracy and completion, ensuring timely processing.- Responsible for creating ad-hoc reports and running existing reports at designated frequencies. Reviews reports to address and monitor errors and takes necessary actions to resolve errors and warnings.- Communicates with Payroll and/or Insurance Billing regarding related changes to employee and retiree insurance premiums and/or retirement deductions.- Provides guidance to departments related to staffing actions and benefits eligibility.- Responsible for initiating death notice process, including working with appropriate family members to establish Survivor benefits, beneficiary updates, and processing benefit changes in Workday. - Coordinates and conducts Open Enrollment meetings/presentations. Reviews Open Enrollment forms for accuracy, resolves discrepancies and enters changes into Workday.- Scan, index and verify all incoming insurance forms. This includes checking all incoming forms for accuracy and completion, and returning those that are not accurately completed to the appropriate HR Office. In addition, it includes batching and preparing the forms, releasing them into the document imaging system, and managing destruction within the proper time frame. Responsible to train student worker/tech to perform scanning, if applicable.- Assists System Office Wellness Champion as needed and assists with special programs, health fairs, etc.- Coordinate special projects and assists the Director and Associate Director of Benefits Administration with other benefits-related tasks.- Performs administrative duties for the department.- Responsible for supervision of student worker.- Other duties as assigned.Education and Experience:-Bachelor’s degree in applicable field or equivalent combination of education and experience.-One year of human resources or benefits-related experience. Knowledge, Skills and Abilities: - Excellent verbal and written communication skills.- Excellent organizational, analytical and problem-solving skills.- Word processing, spreadsheet and database software experience.- Attention to detail.- Ability to work with sensitive information and maintain confidentiality. - Ability to multi-task and work cooperatively with others.
