Engineering Coordinator - Onsite

The Position This position is responsible for supporting/assisting the Engineering team with documentation, quality system interaction, performing a variety of highly diverse and complex administrative tasks and activities requiring sound planning, organization, judgement, adaptability, and accountability. This is an onsite role Monday-Friday. Relationships Reports to: Manufacturing Engineering & Validation Manager Number of subordinates with direct/indirect referral: none Essential Functions + Document management: formatting, scanning, printing, distribution, organizing, approval routing, tracking progress, archiving. Documents are role-specific but could be drawings, vendor data, turnover packages, commissioning documents, validations, engineering test plans, SOPs, etc. + Process documents within the Quality Management System (QMS), including uploading documents and attachments, maintain metadata, and route documents for review and approval + Support engineering with coordination, processing, tracking and documentation of Deviations (DVs), Change Requests (CRs), document change control (DCC’s) + Assist Engineering team project planning – maintain schedules in Microsoft Planner + Assist Engineering in developing and writing standard operating procedures (SOP’s) and maintenance plans + Creation and/or revisions of project vendor data/electronic Turn Over Packages (eTOP’s), including uploading documents and linking vendor data + Serve as training administrator to ensure that training curriculums are current + Data entry support into CMMS / Blue Mountain RAM including new asset requests (NAR’s), database revisions (DREQ’s), preventative maintenance (PM) requests, and uploading supporting documentation + Generate validation document numbers, track document status, and pull reports from the database + Retrieve documents during audits and inspections + Create purchase order requisitions using internal electronic system including tracking / status of orders. Support team with tracking budget spend on projects. Maintain office supplies for department + Work with supervisor on document-related projects. Implement process improvements within the team using cLEAN® concepts + At the direction of the functional area manager (FAM), develop and maintain team and site Key Performance Indicators (KPI) metrics + Organizes, and uses considerable written and verbal communication skills to represent the department + Independently researches a wide variety of information requests and gathers and compiles reports on data + Performs a variety of routine office duties involving typing, record and file maintenance, data entry, planning and execution of either on or offsite department meetings, (e.g. off sites, team building, group meetings) + Perform all job duties and responsibilities in a compliant and ethical manner and in accordance with all applicable SOPs, corporate standards, cGMP’s, local, state and federal laws/regulations + Incorporates the Novo Nordisk Way and Code of Conduct values in all activities and interactions + Other duties as assigned or required. Qualifications + Education and Certifications: + High School diploma or equivalent with a minimum of three (3) years relevant experience, or an Associate’s degree or equivalent with one (1) or more years of relevant experience + Work Experience: + Three (3) years of work-related experience within a manufacturing, engineering, and maintenance department as technical writer and/or administrative support required with a high school diploma, or at least one (1) year with an Associate’s degree + Knowledge, Skills, and Abilities: + Requires demonstrated computer skills and use of Microsoft Office including proficiency with Word, PowerPoint, Excel, OneNote, Project, Visio and Teams + Ability to utilize electronic systems as necessary in order to conduct job responsibilities + Ability to manage multiple priorities + Ability to work independently + Preferred experience but not required + Adobe / Bluebeam + AutoCAD + Computer Maintenance Management Systems (CMMS) + Understanding standard operating procedures (SOPs) + System Applications and Products (SAP) Physical Requirements 0-10% overnight travel required. The ability to sit, stand, walk, climb, reach, push, pull, lift, finger, feel, and grasp. The ability to speak, listen, and understand verbal and written communication. Ability to move throughout the facility in the performance of duties in proximity of process equipment and active construction sites during project phase. Visual acuity to perform close activities such as: reading, writing, and analyzing; and to determine the accuracy, neatness, and thoroughness of work assigned or to make general observations. This position may lift up to 10 pounds. Constantly operates a computer and other office equipment using hands. While performing this job employee work involves sitting most of the time with walking and standing required only occasionally.
