Job Purpose:
Our Equipment Support Specialist will complete and monitor equipment order process to ensure customer delivery commitments are met and are within forecast allocation. This role will also generate state of the art equipment proposals for the Sales organization in order to grow sales with Veritiv equipment customers.Job Responsibilities:
● Process equipment orders from inception to completion, which can include product returns, credits, invoice exceptions, special orders, and/or any other follow-up with customers and vendors.● Receive all vendor invoices for equipment, review for accuracy, deduct from balance due and approve for AP to pay.
● Process direct purchase orders associated with direct sales orders. In conjunction with Procurement, add indirect lines to stock purchase orders or create stand-alone indirect purchase orders, expedites outstanding purchase orders, and resolve outstanding supplier invoice exceptions associated with managed purchase orders.
● Create and manage quotes to customer via established policies and procedures with existing suppliers and products.
● Coordinate equipment startup and installation with service center, implementation coordinators and equipment specialists.
● Respond to customer, sales representative and local management questions pertaining to orders, product availability, pricing, and delivery and resolves issues.
● Manage and track all backorders using established reports and procedures.
● Generate equipment proposals and maintain shared proposals template database.
● Ensure proposal content prepared is accurate and complete as compared to request received in addition to ensuring compliance to company policies related to terms and conditions, liability, profitability, and management review of opportunities.
Additional Responsibilities & Qualifications:
● Experience with creating and manipulating graphic content in Word or Adobe, Filemaker and SalesForce.com, preferred.
● Detail oriented with strong math aptitude.
● VOS or Oracle Cloud based system experience, helpful.
● Consistently exhibit high level of motivation and sense of urgency, exceptional follow-up and problem-solving skills.
● Ability to prioritize, set and consistently achieve goals.
● Strong team player (peers, other functions, management).
Work Experience:
● 1-3 years of related job experience.● Ability to manage multiple projects, work under pressure, and adapt to sudden changes in the work environment.● Ability to work quickly and efficiently.● Basic experience of simple office/operational systems.● Excellent verbal, written, people, and diplomacy skills are required.● Experience with Salesforce.com or other CRM is preferred.● Proficient with Microsoft Office Suite.● Strong customer service skills (friendly, courteous and helpful).● Strong planning and organization skills are required.Education:
