Event and Reservations Assistant
Title: Event and Reservations Assistant Department: Events & Conference Services Reports To: Director, Operations and Conference Services Position Type: Staff Position Summary: The incumbent is primarily responsible for assisting with administrative duties and the coordination of event logistics. Responsibilities include but are not limited to facility rental contract preparation, reservations, invoicing, budget, and revenue reporting using Excel, Google tools, or FreshBooks. The incumbent in this position will work principally with the assistant director of Conference Services with additional support to the associate director of campus center operations and conference services. Essential Functions: - Requires strong communication skills. - Review and respond to all phone calls and electronic correspondence related to internal and external events promptly. - Assist with scheduling events through the reservation tool (R25Live Pro). - Respond to facility rental inquiries. - Oversee events scheduled on campus. Additional Functions: - Must be able to work evenings/weekends as needed. - Demonstrate previous experience working with event-related vendors to ensure the needs of clients are handled in a timely manner. - Work on a flexible schedule, with hours based on the business needs of the department and assigned on a weekly basis. - Work on a twenty-nine (29) hour per week schedule. Prerequisite Qualifications: - High School Diploma. - Two to three years of experience in Event Planning, hospitality, and customer service. - Experience with small to large-scale events. - Experience working in a fast-paced environment is preferred. - Must be able to handle multiple events/projects simultaneously. - Must have excellent administrative and communication skills. - At the university's discretion, the education and experience prerequisites may be exempted where the candidate can demonstrate to the satisfaction of the university, an equivalent combination of education and experience specifically preparing the candidate for success in the position.
