Event Coordinator, Catering

Under the direction of the Manager, Catering Sales, the Event Coordinator holds responsibility for the successful coordination of all catering planning and operations for the entirety of the San Manuel enterprise with the highest standard of service and efficiency. This position will assist the Yaamava’ Catering team with a focus on premiere catering experiences for all events. This individual will communicate clearly and concisely, with the utmost professionalism, to both internal and external stakeholders to assist in delivering a seamless experience between all involved parties.

Essential Duties & Responsibilities

1. Serves as the event planner’s primary contact on property and maintains responsibility for their experience. Builds strong working relationships with event planners and enterprise stakeholders by collaboration and serving as the liaison between parties to retain business and increase growth.

2. Manages group room blocks and event space for assigned groups and events. Participates in client site inspections, sales and assists with the process when necessary. Forecasts group sleeping rooms and catering revenue for all groups.

3. Identifies operational opportunities and areas of enhancement for events and develops solutions to solve in alignment with Yaamava’ service standards. Ensures departmental adherence to operational compliance standards, inclusive of Yaamava’ service standards and Health & Safety expectations. Addresses guest complaints and resolves concerns as needed. 

4. Prepares all event documentation and coordinates with all involved stakeholders, inclusive of clients and departments, to ensure consistent, high-level service throughout the entirety of the event process.

5. Manages client budgets to maximize revenue and meet client needs. Reviews billing and payments with clients. Works closely with accounting on pre/post event billing arrangements.

6. Verifies that all event orders, event resumes and any other needed paperwork are accurate and distributed on a timely basis per established schedules.  Holds responsibility for ensuring all food, beverage, set-up, décor, entertainment, optional activities, transportation, and any other details needed related to filled are properly assigned and completed.

7. Maintains accurate housing/guest room pick-up information as well as efficient use of function space and accurate function types in designated catering system.

8. Assists in completing budgeting and forecasting as needed for catering department.

9. Performs other duties as assigned to support the efficient operation of the department.

Education/Experience/Qualifications

Associate’s Degree Required.

Minimum of two (2) years of Banquet/Catering and/or Event Management in the hospitality industry required.  

Previous supervisory experience strongly preferred.

Related, relevant, and/or direct experience may be considered in lieu of minimum educational requirements indicated above.

Strong people management skills required with good motivational and collaboration emphasis; communicates change effectively, overcomes resistance and builds commitment.

Ability to delegate, multi-task, lead and prioritize effectively in a dynamic, fast-paced environment with demonstrated organizational and time management skills.

Must maintain a strict level of confidentiality and act in a manner consistent with all legal and regulatory requirements and in compliance with relevant laws and regulations. 

Must be personable and professional, capable of using caution and discretion in communication.

Certificates/Licenses/Registrations

At the discretion of the San Manuel Tribal Gaming Commission you may be required to obtain and maintain a gaming license.

A qualified candidate/employee must have a valid driver’s license with an acceptable driving record as determined by the company’s insurance carrier.

Must obtain and maintain a current Responsible Beverage Service and Food Handler’s Card within 30 days of employment.

Must obtain and maintain a ServSafe certification within 90 days of employment.
