Essential Duties and Responsibilities

The Event Coordinator provides professional client services support in the planning, organization and management of events within the facility. The successful candidate will monitor the logistics of all events assigned and handle all event coordination tasks from the planning stages to the event’s conclusion, including monitoring the event alongside the client.Meets with clients to guide them in the preparation of events and keep them informed as to the status of deadlines.The Event Coordinator is responsible for knowing the rules, codes, and laws associated with opening a building to the public, including but not limited to; finding the capacity of any given room based on the specific set-up needs of the event, communicating floorplans to the Fire Marshall, and working in conjunction with the client to create a floorplan that respects Fire Code and will pass inspection.Candidate must gain knowledge of local IATSE 333’s contracted rules and procedures for staffing and billing of Stagehand Labor.Scheduling and working along with Front of House staff, including, but not limited to, Guest Services, Police, EMT’s, Building Services, custodial, and the Local IATSE Union.Serve as “Manager on Duty” for events as assigned.Make purchase orders and check requests as needed for renting show needs, including but not limited to; CO2, Forklifts, Flowers, Furniture, Backline, and Production Equipment.Event Coordinator is expected to perform physical duties as needed; walking/standing extensively, maneuvering to all areas of the facility, working inside / outside, using a two-way radio, and occasionally lifting up to 30 pounds.Other duties as assigned.

SUPERVISORY RESPONSIBILITIES

Candidate will carry out supervisory responsibilities in accordance with all Legends & ASM policies and applicable laws.  These responsibilities include supervising and coordinating with part-time managers and event staff in both small and large-scale settings.  Departments Event Coordinators will supervise include; Guest Services, Security, Building Services, Stagehand Union, Police, EMT’s, Custodial, and more as the specifics of the event require.

EDUCATION AND/OR EXPERIENCE:

High school diploma or GED required. Bachelor’s Degree with event management emphasis is preferred.2 years of hands-on, professional event production experience in the industry for arena, theatre, stadium, and/or convention center; or equivalent combination of education and experienceExperience with negotiating, executing, and fulfilling contracts in the areas of user agreements, service provider agreements, and labor union agreementsUnderstand and be capable of insuring that all laws, building codes, ordinances, policies, procedures, risk management and emergency procedures are followedExhibit excellent organizational and communication skillsMaintain a professional presentation, appearance and work ethicWork effectively under pressure and/or stringent schedule to produce accurate results and meet deadlinesFoster working relationship with partners, clients, employees, exhibitors, and patrons during employmentDetail oriented
