Why does this role exist?
This role is being hired to secure high-impact speaking and exhibitor opportunities and to ensure flawless execution at conferences and trade shows so the client and their companies have consistent, professional physical presence. The Events Coordinator will remove logistical friction—handling research, bookings, negotiations, materials, staff coordination and post-event follow-up—so the client can focus on presenting and growing the business. Ultimately, this role exists to increase visibility, generate qualified leads, and maximize ROI from events.

The Impact you’ll makeSpeaker & Exhibitor Bookings\nResearch, identify and apply for speaking slots appropriate for the client and each company.\nSecure exhibitor tables and booth space for relevant companies at targeted events.\nManage applications, contracts, deadlines and confirmations for both speaking and exhibitor opportunities.\nNegotiation & Relationship Management\nNegotiate fees, booth placement, sponsorship packages and contract terms with event organizers.\nBuild and maintain relationships with event hosts, organizers and industry contacts.\nManage vendor and organizer communications to ensure favorable terms and smooth logistics.\nEvent Logistics & Materials Management\nCoordinate production, shipping and on-time delivery of event materials (merch, swag, tablecloths, roll-up banners, collateral).\nAssign and brief staff for event roles; create staff schedules and run-of-show documents.\nOversee on-site setup, booth appearance, and any required technical or AV arrangements.\nEvent Research & Calendar Management\nContinuously research and aggregate targeted conferences and trade shows across industries (education, business/entrepreneurship, aviation/travel).\nMaintain an up-to-date event calendar to ensure coverage and speaking opportunities across companies.\nPrioritize events by audience fit, cost/benefit, and speaking potential.\nOnsite & Post-Event Execution\nProvide hands-on support before, during and after events; troubleshoot issues and act as the main contact for organizers and staff.\nPrepare post-event reports summarizing outcomes, leads, and recommended follow-up actions.\nCoordinate lead handoff and follow-up plans with the client and internal team.\n


Skills, Knowledge and ExpertiseRequired:\nMinimum 1 year experience as an Event Coordinator or Booking Agent\nDemonstrable experience booking both speaking engagements and exhibitor booths at industry events.\nProven negotiation experience with event organizers and vendors.\nExperience coordinating event materials, staff, shipping and on-site logistics.\nComfortable using Asana, Google Workspace, Slack and Canva for event planning and collaboration\nWFH Set-Up:\nComputer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.\nInternet speed of at least 40MBPS\nHeadset with an extended mic that has noise cancellation and a webcam\nBack-up computer and internet connection\nQuiet, dedicated workspace at home\n\n\n\nYour Superpowers:
