The Event Manager position is responsible for managing events and clientele within the Office of Strategic Venues & Event Services. Additionally, the Event Manager will provide relational leadership and managerial oversight of the Event Coordinator team, a sub-department of Event Services housed within the Office of Strategic Venues and Event Services (OSVES) at Belmont University, and must be a reliable source of vision, leadership, and encouragement.
This position is designed to help facilitate the efficient operation of the Office of Strategic Venues & Event Services by supporting the event needs of internal and external clients through the management of events, preparation and maintenance of contracts, data, and schedules.
While our Event Management team thrives on collaboration, this role will lead the development, implementation, and maintenance of the student employment program.
Serve as the turn-key liaison for managing client relationships as it pertains to scheduled events hosted on the Belmont University campus. Perform event manager duties, which include, but are not limited to, advance events and procure applicable event details, conduct facility walk-throughs with clients as needed, and communicate event needs to OSVES staff and University campus partners. Serve as Manager on Duty for assigned campus events. Manage and oversee the Event Coordinator team including operational and relational leadership to foster growth, address performance issues, and ensure equitable scheduling in order to ensure successful event execution in Strategic Venues and University spaces. Hire, train, and manage student workers and lead student employment program development. Prepare contracts and event estimates for clients. Secure event contracts, including lease agreements, usage policies, expense estimates, house policies, certificates of insurance and deposit payments. Coordinate and schedule Front of the House staffing for events on campus, including, but not limited to: house managers, ushers, vendor ushers, emergency medical services, security, and housekeeping. Manage and maintain client account and database. Manage and maintain accurate billing information for each event, and assist with vendor invoice verification. Coordinate with Business Operations & Finance Specialist to ensure client invoices are received and paid. Assist in the development and distribution of materials relative to coordination, execution, sales or operations. Conduct accurate researches and concisely summarize information. Other duties as assigned.
