Event Operations Coordinator
Position Title:Event Operations Coordinator Job Group:Professional & Scientific Required Minimum Qualifications:Bachelor’s degree Preferred Qualifications:Experience with basic AV needs and troubleshooting minor issues Experience creating and adjusting room layouts with diagramming software such as EMS or similar Previous experience supporting clients and executing small and large-scale events, including scheduling, vendor coordination, and on-site execution Previous experience requiring the application of organizational policies, safety regulations, and event compliance Job Description: Iowa State University is seeking an Event Operations Coordinator to lead student staff and ensure seamless event operations at the Memorial Union. This role is ideal for someone looking to grow their experience in event organization while working in a fast-paced, customer-focused environment. What You’ll Do + Coordinate and execute event setups, working with event planners, custodial staff, and AV teams. + Ensure smooth transitions between events and confirm spaces are prepared to meet clients' needs — including setting up chairs, tables, and staging for events as large as 500 attendees. + Support parking ramp operations during peak evening hours and assist with guest inquiries. + Serve as the primary point of contact for event-related needs, providing excellent customer service and problem-solving on the spot. + Utilize reservation and diagramming software to prepare and make changes for events + Maintain a safe and welcoming environment, while executing events by following university policy and procedures + Oversee the student information desk, supervising and training student employees. Example of Duties + Plans, coordinates, publicizes, and implements events, conferences, conventions, meetings, etc. + Facilitates event production. + Coordinates logistics such as electrical, custodial, staging, lighting, sound, concessions, catering, security, transportation, and safety. + Coordinates event staffing, which may include hiring and supervising event staff. + Consults with clients on event planning. + Coordinates contracts and letters of agreement for services and events. + Markets services and venues to generate revenue. + Creates strategies to increase utilization, events, and services. + May assign work to other support staff. Level Guidelines + Individual contributor position with developing professional and/or technical skills working under immediate to general supervision + Grasps professional-level knowledge and concepts of field while working in a progressive learning mode + Works on problems and issues of somewhat limited scope + Follows standard practices and procedures in analyzing situations or data for which answers are available or can be obtained + Responds to inquiries and issues, escalating to manager or higher level workers as appropriate + May lead projects of limited scope and complexity + May provide guidance to students Candidates must be legally authorized to work in the U.S. on an on-going basis without sponsorship.
