Event Planning Director

This position is responsible for preparing all event documentation and execution while coordinating with Senior Director of Events, staff, venues, and donors/volunteers to ensure consistent, high level service experience throughout pre-event, event and post-event phases of events. This is an office-based position that offers a hybrid schedule. The office is in Irving, TX. Be Valued™ at the American Heart Association by following us on LinkedIn, Instagram, Facebook, X (formerly Twitter), and at heart.jobs. **Responsibilities** This position's duties will include coordination of outside vendor relations and logistics of all North Texas events including venues, walk routes, fence staging, tenting, banner production and distribution, signage production, and/or premium orders. These duties will include the need to make recommendations regarding decor, room and site set-up, and production material orders. Attention to detail and management of the production timeline and schedule. + Vendor Management: research to secure the most appropriate and cost-effective relations with outside vendors. To include obtaining several bids and reviews to be presented to leadership for approval. + Venue Management: research to secure the most appropriate and cost-effective relations with venues. To include receiving approval of food and beverage minimums, venue fees and other related expenses to be presented to leadership for approval. + Day-of-Event management: To include decor, set up and tear down management and/or execution. Coordinate on-site with outside vendors. + Budget Management: tracking direct expenses across all events. Submitting invoices and contracts in a timely manner. + Timeline Management: coordinate communication timing and schedules and collateral timelines and deadlines for all events + Volunteer Management: determining amount of volunteer support for each event and crafting volunteer job descriptions, providing on-site volunteer management, and collaborating with event chairs to achieve their overall look and feel of the event. + Contractor Management: negotiate contracts with vendors and venues, submit for approval and authorized signatures. + Position requires periodic travel throughout the Dallas area. **Qualifications** + Bachelor’s degree or equivalent experience. + At least 3 years of experience in event logistics and/or event management. + Ability to lift and/or move large objects (such as boxes) with the expectation that heavier items would be broken down into smaller components or requesting additional assistance may be required before lifting and/or moving. + Ability to anticipate and satisfy customer needs; to work independently and take the initiative; to solve problems creatively and effectively; to meet and interact with all levels of staff and volunteers. + Ability to work evenings/weekends, when necessary, with reliable transportation. + Must have at least basic knowledge and skill/proficiency with Microsoft Office. + Proficiency in designing marketing collateral and Canva experience preferred. + Experience in vendor and volunteer management preferred. **Compensation & Benefits** The American Heart Association invests in its people.
