Event Project Officer

Description

ICF Next is one of the leading integrated communication agencies in Europe, specialising in large-scale events and campaigns across the European Union. We are seeking a proactive and detail-oriented Event Project Officer to join our dynamic team. Collaborating closely with Project Managers, Event Managers, and the Head of the Events Team, you will play a key role in ensuring the smooth execution of our projects, adhering to established administrative procedures.

Your Responsibilities

Your duties will include (but are not limited to):

Creating and validating purchase orders while coordinating sub-agreements with vendors.

Supporting and validating supplier invoices.

Assisting with the preparation and validation of client reports and invoices.

Tracking and ensuring the completeness, accuracy, and timely submission of freelancers’ timesheets.

Monitoring project financial profitability in collaboration with project managers and accounting teams.

Preparing necessary documents to ensure smooth and timely project closures.

Maintaining and updating project tracking tools.

Administering the sales/projects pipeline, ensuring data is complete, accurate, and up to date.

Contributing to ad hoc project improvements and analytical reviews.

Preparing presentations for internal and client meetings in PowerPoint or other formats.

Managing secretarial tasks for event projects, including:

Organizing folders and filing.

Compiling agendas and planning meetings.

Coordinating with providers for offers.

Providing onsite support during events.

You will report directly to the Head of the Events Team.

Your Profile

We are looking for a candidate with the following skills and qualifications:

Proficiency in Microsoft Office Suite and familiarity with ERP systems (e.g., Deltek, SAP).

Strong command of both English and French.

Experience with online event platforms such as Zoom, Webex, and Teams.

A proactive, stress-resilient attitude with strong organizational skills and attention to detail.

Excellent communication skills and the ability to meet tight deadlines with efficient follow-up.

A collaborative mindset, comfortable working across teams such as finance, procurement, contracts, operations, sales, and production.

A quick learner eager to acquire new skills and take on diverse tasks.

Preferred Qualifications

Familiarity with the European Institutions sector or the communication industry.

2–3 years of experience in secretarial, organizational, or client service roles.

Fluent in English, other languages are an advantage
