Event Specialist (Part-time)

This Event Specialist is is responsible for supporting the coordination of events and clientele within the Office of Strategic Venues & Event Services. With client care and hospitality as a cornerstone, this position is designed to lead internal and external clients through a seamless facilitation of event planning and execution from booking through execution. The Event Specialist is responsible for developing relational rapport with each client, understanding client needs, strengthening the event's organizational flow, liaising in communication with the broader events team, and assisting in the smooth execution of successful client events as a partnered event planner.
Primary Position Responsibilities:
Understand the vision and aspiration of client events, support the planning and development of assigned events, procure applicable event details, and provide clear, timely, ongoing pathways of communication regarding client and event needs to OSVES event staff. Maintain healthy and productive relationships with campus partners who regularly facilitate events within OSVES venues and/or need OSVES services. Proactively lead the way in relational development, idea generation, creative solution-finding, and resourceful collaboration.Prepare event pre-estimates, diagrams, signage, and other materials as needed for clients. Conduct facility walk-throughs with clients as needed. Work alongside the client and OSVES event staff to creatively curate and problem-solve. Assist in the development and distribution of materials relative to coordination, operations, and execution of events.Understand staffing protocols, needs and expectations to aid in communication and planning between the client and event staff. Support communication, coordination and scheduling of Front of the House staffing for events on campus, including, but not limited to: ushers, vendor ushers, emergency medical services, security, and housekeeping. Understand general protocols and expectations to aid in communication and planning between the client, venue and ticketing staff. Assist in the coordination of clear and timely communication between the client, venue and Box Office. Ensure all necessary client documents are prepared in a timely manner, including but not limited to Booking Advisories, Checklists, and the like.
