This role is pivotal in ensuring seamless operations within our events team by providing comprehensive organizational and administrative support. The ideal candidate will have experience in scheduling, travel booking, and sales support within a fast-paced environment, preferably in a consulting or event management setting. This position will work in partnership with the events team in Sao Paulo, Brazil. Key Responsibilities: Team Meeting Organization & Scheduling : + Coordinate and update schedules for team and client project calls, ensuring all participants are informed promptly. + Record and edit meeting notes to distribute concise summaries and action items to relevant stakeholders. Team Organization: + Maintain an organized team database, ensuring all folders are current by updating or removing outdated documentation. + Manage status trackers and assist team members in adhering to project timelines with timely reminders and follow-ups. + Collaborate with team members to facilitate timely submission of expense reports and timecards. Travel Booking: + Handle travel arrangements for Eurasia Group team members, speakers, and partners, ensuring efficient booking and accurate record-keeping of invoices and receipts. Sales Support: + Organize and maintain sponsorship and sales outreach materials. + Collaborate with the Sales Operations and Strategic Initiatives teams to keep Salesforce records current and accurate. + Partner with the Finance team to process and monitor invoices and expense reports efficiently. Qualifications: + Demonstrable experience in administrative support roles, particularly within events, consulting, or a related field. + Strong organizational skills with a keen eye for detail. + Proficient in office software, including design tools and Microsoft Office Suite. + Ability to work collaboratively within a team, with excellent interpersonal and communication skills. + Proven ability to manage multiple tasks and prioritize effectively in a fast-paced environment. + Travel coordination experience is beneficial but not mandatory. + Familiarity with Salesforce or similar CRM tools is preferred.
