RESPONSIBILITIES
Assist the Events & Conference Manager in negotiations with clients using creative and attractive menu presentations and event proposals, to achieve both maximum revenue/profit potential and fulfillment of contractual responsibilities while satisfying client needs.Finalize the requirements of confirmed bookings while maximizing revenue potential through up selling and ensuring effective communication both written (Resumes, BEO, Daily Reports) and personal contact with all departments for the success of the event. Maintain an active trace/follow-up system. Ensure accuracy of Banquet Checks and provide bill review on completion of program or event.Conduct site inspections with potential clients.Collaborate with the appropriate Department.In respect of rooming list, special arrangements, any F&B requirements, transfer and transport, account and billing instructions. Liaise with external providers in order to create synergies between the property and the client’s requirements. Cooperate with the Accounting department in respect of client account instructions. Keep Opera constantly up to date with the latest client’s information.Verify prior to arrival that all involved departments have the most updated information in regard to group and event requirements and to get personal details for all group delegates from Sales Manager, e.g. Banqueting orders, Group Resumé, menus, etc.Supervise the execution of the assigned groups & events. Review all function space with banquet manager and when necessary, head house attendant.Attend meetings with hotel staff and clients, including but not exclusive to: Morning Operations Briefing, Banquet Event Order Meeting, Sales Meeting Pre-Convention Meetings, GRC meetings, Menu Tastings.Keep Opera constantly up to date with the latest client’s information.QUALIFICATIONS AND SKILLS
Excellent Italian and English communications skills (verbal and written)Positive attitude and effective interpersonal skillsHigh level of organizational skillsOutgoing and open-minded personality with leadership experience and resilience in peak timesPrevious experience in a similar position (minimum of 2 years) within the Luxury HospitalityProficiency in Microsoft Office software: Word, Excel, power point, publisher.Knowledge of Opera is preferred.
