CGI Federal has an immediate need for an Executive Assistant for a Sector Lead and large Program Account Manager. This is an exciting full-time opportunity to work in a fast-paced team environment supporting one of the largest organizations for the US Federal Government. This is a mid-level administrative position based in Ballston, VA and Fairfax, VA.
Your future duties and responsibilities:Responsibilities will include but are not limited to:
- Maintenance of executive calendars (scheduling, managing conflicting appointments)
- Assistance in the preparation and facilitation of team meetings and workshops, including organizing external food orders/caterers
- Support for travel related needs for key partners of the CGI project team including expense report submission and tracking. (Familiarity with Federal Travel Regulations is a plus.)
- Meeting coordination and scheduling and support for team in reserving conference rooms, distributing recurring meeting invites, printing copies, etc.
- Coordinate with Facilities/Building maintenance teams for routine or unplanned events
- Administrative support for various partner management functions including:
• Maintenance of org charts and team contact lists
• On-boarding of new team partners including space assignments, ID request forms, asset assignments, access requests, and team distribution list management.
• Coordination of team social events.
• Coordination of rewards and recognition programs
• Coordinating the Project team calendar, vacation, and out of office/meeting schedules.
• Reconciliation of the project team’s timesheets to ensure accurate time recording
• Monitoring of compliance of the project team to various administrative processes including timesheets, expense report submission, mandatory trainings, completion of performance reviews, etc.
- Perform special projects
- Excellent verbal/written communication and interpersonal skills and must be outgoing and proactive in order to accomplish tasks
- Experience maintaining executive calendars, including scheduling and general appointment management
- Experience with Microsoft Office applications (Word, PowerPoint)
- Experience using project management tools including Excel, Project, Visio and Access.
- Knowledge of MS SharePoint and facilitating, improving, and ensuring compliance with its defined project uses.
- Flexibility, ability to multitask and handle a fast-paced work environment
- Flexibility to go to both our Ballston, VA and Fairfax, VA offices as program demands require
- Ability to support project team partners across a diverse geography
- Ability to effectively communicate and interact with all levels of the CGI, subcontractor, and customer organization.

The determination of this range includes various factors not limited to skill set, level, experience, relevant training, and license and certifications. To support the ability to reward for merit-based performance, CGI typically does not hire individuals at or near the top of the range for their role. Compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current range for this role in the U.S. is $33,800.00 - $61,300.00.
