Summary:

The Executive Administrative Assistant, Global Real Estate & Facilities (RE&F), is responsible for general administrative support to the Vice President of Global Real Estate & Facilities, as well as the department or group of professionals leading the global real estate and facilities function.  Reporting to the VP, Global Real Estate & Facilities, this role requires stakeholder centricity, the ability to communicate at all levels of an organization, independent judgment, and the capability to analyze complex information requests and determine complex trends.  The successful candidate will collaborate with RE&F colleagues to optimize our corporate real estate and facilities portfolio to enhance the customer experience, promote employee productivity and engagement, and optimize costs to enable scalability and growth.

What You Will Do:

Provide administrative support to the Vice President, Global RE&F and supporting Leadership team; may include calendar management, arranging travel and processing expenses.Plan and organize departmental meetings and webcasts, coordinate logistics, prepare presentations and materials, troubleshoot problems and manage special meeting requests.Coordinate property-related documents (Leases, Estoppels, Notices, etc.) together with RE&F colleagues and supplier partners.Format, generate, and publish team reports, meeting minutes/actions, and metrics.Support RE&F vendor management, including purchase order requests, invoice processing, and validation of order completion.Interpret and respond to RE&F policy questions.Support RE&F department projects and organize schedules to meet deadlines.Anticipate obstacles, develop alternative courses of action, and makes appropriate decisions to meet objectives.Conduct research and compile and analyze information for reports to make decisions and/or recommendations.Work closely with a network of administrative professionals to accomplish mutual tasks and objectives.Manage confidential scope of work, ensuring information is shared with internal and external individuals in an appropriate manner; provide guidance to peers as necessary regarding proprietary information.

What You Need:

Required:

High School Diploma or Equivalent5+ years’ experience supporting Executive Leadership in a similar capacityExperience with Microsoft Office Suite technology, including Outlook Calendar with complex meeting scheduling across multiple time zones, document creation, spreadsheet creation, and presentation creation.

Preferred:

Associate or bachelor’s DegreeExperience with Power BI, Planon, Condeco, or other data management systems

Travel Percentage: 10%
