We are seeking a detailed-oriented Executive Assistant to provide high-level administrative support to the EVP of Store Development. In this role you will manage complex schedules, coordinate meetings, manage cross time zone travel, prepare reports, and handle various administrative tasks to ensure the EVP and SVP’s (4) and teams can focus on strategic initiatives. The ideal candidate will be proactive, highly organized, and capable of handling confidential information with discretion. You will represent the EVP of Store Development to internal and external business partners, contributing to Burlington’s professional reputation. By protecting confidential information and handling sensitive information with integrity, you will help build and maintain trust within the team and the organization. The impact of this role is critical to the enhanced productivity and efficiency of our organization.
A Day in The Life:
Calendar Management & Travel Arrangements, and Expense Reconciliation: Maintain and coordinate the EVP and 4 SVP's schedules, including arranging meetings, appointments, expense reconciliation and travel arrangements. Plan and book travel, including flights, accommodations, and transportation. Prepare detailed travel itineraries.Meeting Coordination & Document Preparation: Organize and prepare for meetings, including scheduling, sending reminders, booking meeting rooms, setting up audio-visual equipment and organizing catering when necessary. Draft and edit emails, letters, and other documents as needed. Take meetings notes and follow up on action items. Prepare reports, presentations, and other documents for executive meetings and presentations. Handle confidential and sensitive information with discretion.
Office & Project Management: Support day to day operations, including ordering supplies, managing equipment needs, and coordinating with IT, facilities and other departments as needed. Set up and manage Teams Channels and file sharing to facilitate efficient collaborative project management. Assist in the planning and execution of projects and initiatives. Track project progress and report on key milestones.
Relationship Management: Build and maintain positive relationships with internal and external stakeholders and business partners. Handle inquiries and direct them to the appropriate departments or individuals.
You’ll Come With:
5+ years of experience as an Executive Assistant or in a similar role supporting C-level executives. Experience in a corporate, fast paced environment and supporting retail or field operations a plus.Ability to manage complex travel and scheduling across time zones.Excellent organizational and time-management skills.Strong written and verbal communication skills.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.Ability to handle confidential information with integrity and discretion.Strong problem-solving skills and the ability to work independently.Professional demeanor and excellent interpersonal skills.Ability to work in a hybrid structure, on site 2-3 days/week in Burlington, NJ.
