We are looking for a Executive Administrative Assistant. This position will be based in Wendell, NC.
The Executive Administrative Assistant will provide high-level support to the Segment Heads of the Utility Systems & Solutions and Industrial & Infrastructure businesses, acting as a key point of contact for the executive team. This role requires a proactive, detail-oriented professional capable of managing a wide range of tasks with discretion, efficiency, and impeccable organization. The ideal candidate will excel at coordinating schedules, preparing reports, and handling confidential information, all while maintaining a professional and approachable demeanor.
Roles & Responsibilities
Executive Support Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and travel arrangements. Prepare and review documents, presentations, and reports for internal and external meetings. Assist in meeting preparation by gathering and compiling required materials and conducting preliminary research. Act as a liaison for the executive, coordinating communications between leadership and other departments, clients, or external partners. Communication & Coordination Draft, proofread, and edit correspondence and other documents on behalf of the executive team. Manage internal and external communication, ensuring timely responses and maintaining a positive company image. Organize and facilitate team meetings, including preparing agendas, taking minutes, and following up on action items. Project Assistance Support special projects by coordinating tasks, tracking milestones, and ensuring timely completion. Assist in managing departmental budgets, processing expense reports, and maintaining accurate records. Conduct research and compile data for projects, presentations, and reports as required. Office & Administrative Management Oversee general office operations, including ordering supplies, managing vendor relationships, and ensuring a well-functioning workspace. Organize and maintain the executive’s files and records, both physical and digital, ensuring confidentiality and accessibility. Support HR-related tasks, including onboarding new employees, coordinating training, and managing internal communications as needed.You’ll win us over by having the following qualifications:
Basic Qualifications:
Education: Bachelor’s degree in Business Administration, Communications, or a related field preferred; relevant experience may substitute. Experience: Minimum of 5 years of experience in executive administrative support, preferably within a corporate or fast-paced environment. Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software (e.g., Teams, Zoom). Strong verbal and written communication skills, with excellent attention to detail. Exceptional organizational and multitasking skills, with a proven ability to prioritize and adapt to shifting deadlines. Ability to handle sensitive and confidential information with discretion. Positive attitude, professionalism, and the ability to work independently as well as in a team environment.Preferred Qualifications:
Experience with project management software (e.g., Asana, Trello) is a plus. Familiarity with budgeting and expense tracking.You’ll benefit from:
