Executive Administrative Assistant

Provide high level administrative support to the executive and the family members at our O'Reilly Wooten Offices. Highly professional demeanor and ability to conduct activities with highest degree of confidentiality, integrity, reliability, dependability, and trustworthiness.

ESSENTIAL JOB FUNCTIONS

•    Assist with LLC’s, partnerships, and family partnerships.
•    Track expenses including managing receipts, logs, credit card reconciliation and reimbursements, bill paying, bank account reconciliation, and oversee account balances.
•    Receive and organize incoming personal mail and billing statements.
•    Assists in preparing budgets, provides advice regarding budget projects, and monitors expenses.
•    Prepares reports which summarize financial, accounts, activities, and operations.
•    Monitor billing and accounts receivable and provide billing support and assistance, including scheduling and tracking bill payments.
•    Coordinate with tax, legal, banking and professional advisors as necessary.
•    Maintain complete files on all business and real estate interests.
•    Coordinate with vendors and schedule appointments for repairs and regular maintenance for all properties.
•    Communicate with vendors to address any issues or concerns that may arise.
•    Perform general clerical tasks as needed, e.g. ordering supplies, directing calls, greeting visitors, accepting deliveries and managing incoming correspondence.

SKILLS/EDUCATION/KNOWLEDGE/EXPERIENCE/ABILITIESRequired:

•    3+ years of experience in the capacity of a persona, administrative, executive assistant or similar

•    Proven organizational, time management, communication, and interpersonal skills

•    Valid driver’s license and clean driving record

Desired: 

•    Previous industry experience: Commercial Real Estate, Financial Institution or family office organization ideally
•    Proficient in QuickBooks.
•    Previous accounting experience preferred
