Executive Administrative Assistant

Summary: Goldbelt Frontier, LLC is looking for an Executive Assistant. The Executive Assistant shall provide personnel required to perform services in the areas of executive administrative support services for the USAMRIID Command Suite and USAMRIID Leadership to include clerical/administrative support for CONUS/OCONUS travel, records management, correspondence/document preparation, meeting minutes and scheduling meetings using Microsoft Office. These administrative services will be completed throughout the USAMRIID complex. This position is required to be on-site. Work hours will be 0800 – 1630. Responsibilities Essential Job Functions: Preparing and editing technical or general documentation using various software packages such as Microsoft Word, Microsoft PowerPoint, Microsoft Excel and Windows, transcription of documents, data entry, and preparing and editing management support documentation such as PERT or GANTT charts in hard copy or using software such as Microsoft Project or Primavera. Performing a variety of support services such as visitor access control, answering telephones, receptionist, ordering and receiving office supplies and equipment, editing or maintaining technical, budget, programmatic and administrative documentation and references, preparing travel documentation and coordinating travel arrangements, operation of reproduction equipment to produce large volumes of documents, courier service and mail service, etc. May be required to interact with senior level managers such as high-level military and civilian medical, health care and technical personnel. The Contractor shall provide personnel required to perform services in the areas of executive administrative support services for the USAMRIID Command Suite and USAMRIID Leadership to include clerical/administrative support for CONUS/OCONUS travel, records management, correspondence/document preparation, meeting minutes and scheduling meetings using Microsoft Office. These administrative services will be completed throughout the USAMRIID complex. This position is required to be on-site. Work hours will be 0800 – 1630. Communicate effectively to establish procedures and maintain continuous workflow. Interface with USAMRIID staff to interpret needs and provide excellent customer service. Provide executive level administrative support to the Commander, Sergeant Major (SGM), Deputy Commander (DCO), Chief Science Officer (CSO), and Executive Officer (XO) for USAMRIID Command Suite and USAMRIID Leadership Directors to include scheduling/calendaring, coordinating all travel arrangements and documentation, and general administrative support in accordance with applicable guidance. Conduct reviews on all incoming and outgoing correspondence in paper copy and digital correspondence forms in accordance with the Army Regulation (AR) 25-50 and the Defense Health Agency (DHA) correspondence policies (formatting, letterhead, font, grammar, and spelling). Shall revise, edit and format general correspondence as well as prepare spreadsheets, quad charts, and Power Point presentations when necessary. Shall review all incoming e-mails, print correspondence, respond to e-mails within 4 hours (or sooner if request is urgent) or forward to the DCO or XO for guidance. For mass distribution messages (e.g., eNEWS, holiday safety) Contractor shall confirm/validate whom the message needs to be distributed to, format message for distribution, and send). Shall assist Administrative Assistant in ADMIN Directorate with a wide variety of administrative and staff issues to include processing and coordinating all incoming and outgoing correspondence, electronic messages, facsimiles, and mail. Gather information from multiple offices to update the MS PowerPoint slide deck for assigned Command Suite-level meetings. Compile/review the MS PowerPoint slide deck for all Command-wide meetings to include but not limited to the USAMRIID Town Hall, Directors Sync, DGC, Director’s Governance Counsel, Forums/Commanders Conferences, and Operational Planning Teams. Assist with gathering information for the USAMRIID Command organizational chart and telephone rosters and completes update as requested. Answer telephone calls for Command Suite Leaders as required and direct telephone calls and receive visitors. Schedule events as directed and assist XO with calendar actions, as needed. Request supplies for the Command Suite respective offices which includes documenting supply requirements for the Command Suite, request price quote, coordinate with the Logistics Division for purchases, conduct inventory, receive, and deliver supplies upon receipt. Organize data to provide instruction and oversight to staff and leadership. Create new distribution lists and maintain distribution lists for use within the Command Suite and other respective offices, when requested. Assist in maintenance (to include updates) to the USAMRIID Special Staff shared calendar(s) for the Command Suite on a daily basis. Assist with maintenance of the space roster for the Command Suite, using the correct forms for the updates. Assist with authenticating and publishing of USAMRIID policy and memoranda using designated distribution lists/SharePoint sites upon approval by the Commander, as needed. Provide staff support for awards, promotion, retirement, and other ceremonies within USAMRIID. Serve as the USAMRIID entry POC for Congressional responses for the Commander’s signature. Serve as the USAMRIID entry POC for logging incoming and outgoing correspondence delivered to the Command Suite for review and approval daily. The Contractor shall notify the staff when review of correspondence is complete using multiple methods including e-mail, telephone, and digital records systems (Deliverable 18). Provide GFEBS administrative support to include reviewing and analyzing error reports in order to make corrections including but not limited to interface monitor errors. Perform committee functions and serve as administrative assistant of the committee. Shall complete and distribute meeting minutes as directed by the DCO. Shall maintain documents and filing in accordance with ARIMS or DHA Policies, as applicable. Qualifications Necessary Skills and Knowledge: Prepare Travel requests in DTS; Exceptional organizational and time management skills Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software Excellent written and verbal communication skills Ability to handle multiple tasks and prioritize effectively in a fast-paced environment Effective communication skills including excellent oral and written communication skills Strong problem-solving skills and attention to detail Familiar with formatting correspondence in accordance with AR25-50 Familiar with GFEBS and DMLSS to order supplies and submit purchase requests Strong customer service orientation Ability to work independently Strong organizational and time-management skills High degree of attention detail Minimum Qualifications: Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software High skill personnel may also have duties such as coordinating and directing a variety of support services such as use of reproduction equipment, scheduling maintenance for equipment, scheduling courier runs, ensuring approved security practices are applied relative to personnel and document control and scheduling, ensuring efficient operation of conference facilities and efficient conduct of office operations. Desired knowledge and experience in filing techniques, administrative typing, and using word processing equipment. Minimum eight (8) years of clerical, secretarial or office experience required Preferred Qualifications: Associates or Bachelor’s Degree from a accredited institution The pay rate for this position is $38.21 hourly.
