We are seeking a motivated Executive Administrative Assistant to join our team. The Executive Administrative Assistant serves as the primary point of contact for internal and external matters pertaining to our executive team. The Executive Administrative Assistant also serves as a liaison to senior management teams; organizes and coordinates Functional Unit Meetings; and oversees special projects. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Administrative Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

As our Executive Administrative Assistant, you’ll support HID’s success by:
Completing a broad variety of administrative tasks for senior functional leaders including: managing an active calendar of appointments, accepting or declining commitments and prioritizing requests; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings Assisting in the routing and tracking of incoming and outgoing work flows Assisting in sending out documents for signature, including, digital signatures Taking notes during meetings and publishes meeting minutes and follow-up action plan tracking as requested and appropriate Assisting in the onboarding of new employees and ensures to update distribution and team lists with new employees while removing employees who exited the company Assisting in the updating of the company’s intranet as relevant to the team Providing leadership to build relationships crucial to the success of the organization, and manages a variety of special projects, some of which may have organizational impact Providing a bridge for smooth communication; demonstrating leadership to maintain credibility, trust and support with senior management staff Obtaining and maintaining notary responsibilities Identifying opportunities to improve current processes and implement new processes in order to gain increased efficiencies including leveraging technology (i.e., SharePoint) Assisting in coordinating the agenda of senior management team meetings and off-sites, and all staff meetings including ordering lunch, booking conference rooms, setting up projector or video conferencing units Assisting in the handling of other administrative tasks, as may be assigned Being ative member of the Global Executive Support team participating in planning projects and providing assistance to any executive in absence of their primary assistant

Your Experience and Education include:
Minimum of 4 years experience Experience in event planning Fast-paced, corporate environment experience preferred Diploma or GED required; Associate degree strongly preferred Proficient in MS Office applications, such as Word, Excel, SharePowerPoint,Teams, etc. Familiar with operating systems, such as Windows, etc. Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
