Executive Administrative Assistant

As an Executive Assistant in Consumer and Community Banking-Technology, you will need to work well in a team environment, be able to represent the manager/group with professional courtesy and acumen, and deliver flawless work output. Your daily routine also includes interaction with various executive level internal clients across the lines of businesses. You will need to adapt procedures, processes and techniques to complete assignments in line with the department's activities and goals. **Job Responsibilities** + Manage multiple complex schedules in a fast-paced and dynamic environment + Prepare logistics for meetings and events; both internal and external, including printing of materials, maintenance of calendar invites, booking and prepping conference rooms, catering, greeting guests, and preparing technology + Gather and compile briefing and logistical materials for various types of meetings (in terms of frequency, level of seniority, level of detail, etc.) + Provide daily meeting management, including agenda collection, note taking, handling follow-ups etc. as needed + Coordinate complicated domestic and international travel arrangements (air, hotel accommodations and ground transportation) with travel agency/on your own; prepare detailed itineraries, required travel visas/documents, and assure accuracy and timely delivery of plans/tickets to travelers + Process invoices and T&E expense claims for team members. Ensure all policies are followed and items are processed within provided guidelines. Act as a subject matter expert for policies and procedures + Screen incoming communications and determine the level of priority, while using caution in dispensing information + Assist with staff on-boarding and off-boarding, which includes requesting equipment setup and system access + Maintain current organizational charts and Executive Bio's + Handle regular activities without prompting, and advise in advance with issues or delays **Required qualifications, capabilities, and skills** + At least five years of administrative experience, ideally supporting at the Managing Director level (or equivalent) or above + Strong technology skills and highly proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook, SharePoint) + Enthusiastic, self-motivated, and flexible + Solid organizational and time management skills + Excellent verbal and written communication and interpersonal skills + Tact and good judgment in confidential situations, and proven experience interacting with senior management **Preferred qualifications, capabilities, and skills** + Experience supporting at the Managing Director level (or equivalent) or above + College degree is a plus **Note: This role requires five days in the office (Mon-Fri) and will not support Hybrid options.** Chase is a leading financial services firm, helping nearly half of America's households and small businesses achieve their financial goals through a broad range of financial products.
