Vontier is looking for a proactive and detail-oriented Executive Administrative Assistant with a positive, can-do attitude to provide essential support to the Chief Financial Officer (CFO) and Chief Strategy Officer (CSO). This role is critical in delivering high-level administrative support and personal assistance, ensuring the CFO and CSO are organized and focused on their key responsibilities. The Executive Assistant will work closely with senior executives and key stakeholders to facilitate optimal outcomes.
\nWHAT YOU WILL DO
\nThe Executive Assistant is responsible for managing complex administrative tasks in support of key leadership, utilizing sound judgment to independently address a variety of routine and non-routine tasks.
\n\nAdministrative Support:\n\nProvide a broad range of administrative support, including maintaining a highly active calendar of meetings, arranging complex travel plans, itineraries, and agendas, managing expense reports, coordinating with Accounts Payable (AP) and Accounts Receivable (AR) for invoice and payment processing, and managing the event calendar.
\n\nMeeting Coordination:\n\nPlan, schedule, and coordinate meetings and conferences, both in-person and virtual.
\n\nProject Management:\n\nExecute assigned projects that require independent analytical thinking, sound judgment, and strong written communication skills.
\n\nPrioritization:\n\nPrioritize conflicting needs and handle matters expeditiously, proactively following through on projects to successful completion, often under deadline pressures.
\n\nDocumentation Management:\n\nEstablish and maintain official documents and records in the appropriate files.
\n\nCommunication:\n\nReview and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
\nInteract professionally with internal and external stakeholders, arranging events and venues for critical meetings, and assisting with travel coordination. Ensure relevant materials are collected and distributed accurately, demonstrating strong attention to detail.
\n\nAdditional Projects:\n\nManage other projects as needed.
WHO YOU ARE (Qualifications)
\n\nEducation: University degree preferred but not required.\nExperience:\n\nAt least two years of experience in an executive administrative support role, ideally supporting a senior-level executive with global responsibilities, or a combination of education and experience that demonstrates the required skills.
\nExperience in Investor Relations support is preferred but not required.
\n\nTechnical Skills:\n\nAdvanced computer skills, including proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
\nExperience with collaboration technologies (e.g., SharePoint, Microsoft Teams).
\n\nAttention to Detail:\n\nStrong attention to detail with demonstrated accuracy and thoroughness in work; monitors own work to ensure quality.
\n\nInterpersonal Skills:\n\nHigh level of interpersonal skills to handle sensitive and confidential situations with discretion.
\n\nProfessionalism:\n\nPosition requires demonstrated poise, tact, diplomacy, and a positive can-do attitude.
