The Executive Administrative Assistant to the President of CHEF’STORE will serve as a trusted partner and an extension of the President and their senior leadership team. This role supports the CHEF’STORE’s daily activities and strategic business goals.New Ways of Work: This position has been segmented as hybrid meaning the work is a combination of 3 days onsite in West Linn, OR (Tuesday, Wednesday, Thursday) and 2 days remotely (Monday, and Friday) as defined by the role segmentation.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Act as primary point of contact for the CHEF’STORE President, addressing internal and external queries and escalating them to the appropriate members of staff.
Must possess the ability to maintain complete confidentiality.
Provides consistent high quality administrative support to the President using sound judgement in managing independently a variety of routine and non-routine problems and situations.
Manages the President’s calendar and daily schedule ensuring the most efficient use of time through a detail oriented and forward-thinking approach.
Serves as a liaison between the President and other key members of management, employees, leadership staff, and outside contacts related to company activities.
Organizes and prioritizes own assignments to ensure timely and accurate completion of work.
Design and develop of Power Point presentations, organization charts, Word Documents, and Excel spreadsheets, for both internal and external audiences as requested.
Arranges virtual and onsite meetings including logistics, agenda, meeting notes, and follow ups; Makes travel arrangements and processes expense reports in a timely manner for the President ensuring strict adherence with US Foods travel policy.
Takes the lead in developing and maintaining efficient filing systems to ensure files and e-mails are accurately maintained, archived and readily available.
Prepares accurate drafts/final documents from rough copy, proactively identifying any issues, problems, or inconsistencies within the material.
Provides support for a variety of department projects and initiatives as directed by the President.

RELATIONSHIPS
Internal: The incumbent is required to interact with all employees at all levels of responsibility throughout the company.
External: The incumbent is required to interact with customers and other service providers.
QUALIFICATIONS
Education/Training: High School diploma required, AA degree preferred
Related Experience: Minimum 3 years related experience supporting senior managers in a large department/organizational unit.
Knowledge/Skills/Abilities:
Must possess excellent customer service skills and good written and verbal communication skills. Must possess the ability to maintain complete confidentiality and work well in a dynamic environment with changing and competing priorities. Must be detail oriented, proactive and self-directed. Advance computer skills in Microsoft Office Suite - Word, Excel and PowerPoint required.
Compensation depends on relevant experience and/or education, specific skills, function, geographic location, and other factors as applicable by law. The expected base rate for this role is between $23.00 and $33.00
This role will also receive overtime compensation.
