The Executive Administrative Assistant / Field Operations Manager provides on-going support and coordinates various operations’ initiatives within the Field Operations department to support Senior Vice President of Operations (SVP), Divisional Vice Presidents (DVP) and District Managers (DM). They will maintain company policies, procedures, and drive toward strategic goals. This position is key in the success of the Field Operations team and building relationships with the Divisional Vice Presidents they work with.

Primary ResponsibilitiesGeneral administrative support for the assigned Operations Region (SVP and DVP team) to include travel and logistics coordination, calendar and call scheduling and management, interview scheduling, site visit preparation, monthly one on one preparation, and expense report preparation.Provide office management for the specified region office (coordinate office supply orders, repairs and maintenance, assist with lease implementation), support other region offices, and support the creation and initial set-up of new division offices.Serve as notetaker during regional calls; distribute notes to appropriate parties.Serve as planner and executor, with direction by the SVP, of regional meetings, regional exposure days, and various other meetings.Coordinate and oversee a range of Operations processes and general compliance tasks such as but not limited to, One Note management, financial coordination and content evaluation, and customer complaints.Coordinate gathering feedback and results from multiple geographic areas, departments and positions among the company.Balancing multiple duties and time constraints with excellent time management.Projects as assigned and defined by the SVP and Field Operations team.Proactively finds solutions to hurdles encountered to ensure timely completion.Utilize pivot tables and other Excel tools to organize, analyze, and present data effectively. Provide critical communication, support, and tracking to the Field Operations and Executive teams during inclement weather and natural disasters. 

Job SpecificationsThorough knowledge of, and strong skillset for a variety of computer applications, including the Windows Platform of Microsoft office applications (word processing, spreadsheet, email and database program capabilities) to determine best approach for assigned project.Strong Microsoft Excel knowledge required - Pivot Table, Subtotal, Conditional Formatting, Table Styles, Charting, Data Analysis and Grouping tools.Ability to create presentations and articles for publication that conform to prescribed style and format.Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.Demonstrable ability to organize work for multiple executives and prioritize effectively.Highly effective written and verbal communication skills.Able to work independently of direct oversight and as a team.Customer centric attitude and drive to satisfy internal and external customer needs.Proven experience in financial analysis, with the ability to interpret financial data and provide actionable insights.Strong interpersonal skills with an ability to create and develop solid working relationships with various individuals throughout the organization.Current Driver’s License required.Occasional travel required.

Education and ExperienceHigh School graduate or equivalent required. Bachelor’s Degree preferred.Two to four years’ experience in a management, operations support, and\or analysis role
