Our client, a leading architecture and design firm, is seeking a proactive and detail-oriented Executive Administrative Coordinator to support proposal development, contract preparation, and project coordination. Primary Responsibilities:
Provide administrative support to the Founding Partner, handling correspondence and organizational tasksOrganize and track proposal documents with precisionPrepare and review contracts, including AIA Owner/Architect and Architect/Consultant agreementsParticipate in preparing responses to Requests for Proposal/QualificationsCoordinate project documentation, align project schedules, and support internal communicationManage insurance certificates and client/consultant engagementsMaintain a structured electronic filing systemContribute to marketing strategy and promotional material developmentEnsure high standards of written communication and attention to detailQualifications:
3+ years of administrative experience, preferably in an architectural or engineering settingProficiency in Microsoft Suite, especially Excel and WordExperience with AIA Contract documents and Mac-based applications (Pages, Numbers, Keynote) is a plusFamiliarity with Google Apps (Sheets, Docs) and Deltek Vision is beneficialHighly motivated, dependable, and able to multitask efficientlyBenefits: Includes a comprehensive employee benefits package includes medical, dental, and vision insurance, an annual bonus, 401(k) matching, and participation in our Employee Stock Ownership Plan (ESOP).
