Description:
This position reports to the Vice President of CCP Projects and Operations, and will provide direct support to the CCP leadership team in the following roles:
Responsibilities: Revise and process CCP policy and procedure documents, including the following document handling tasks: Formatting of procedures, manuals, job aids and similar documents using advanced Word, Excel, and Adobe techniques Coordinating document approval signatures via Adobe Sign Creating Job Aids from scratch for group reference Notarizing forms, and coordinating their shipment to the appropriate parties Report Development Creation of reports with varying frequency, utilizing Power BI, Maximo, Content Navigator, and advanced Excel techniques. Retrieving, compiling, and organizing data for these reports, working directly with project managers, site personnel, or contractors as needed. Sending reports to executive management and relevant parties. Troubleshooting or updating reports as needed, working with interconnected data and files. This requires independent, detailed, research and working with other team members or departments as needed. Example reports may include: Vehicle usage, including assignment, accounting, and the development of routine reports Training status Observation status Review observation reporting systems and assess for trends, oversee recognition program. Assist General Managers in the preparation of contractor performance review meetings, conducting preparatory work such as presentation template development and compiling assessing performance data. Serve as a backup coordinator for selective work management functions in Maximo (ie. Work order routing, purchase requests). SharePoint Support Managing access to department SharePoint pages. Creating and managing SharePoint sites as needed. Customizing query links to non-SharePoint databases to be used on SharePoint sites Supporting CCP personnel with site / badge access issues. Coordinate volunteer and teambuilding events. General Administrative Duties/Team Support Support monthly staff meetings through preparation of agendas and necessary meeting attachments. Expense report creation, managing, and submission for the Vice President Time sheet support, trouble shooting, or delegate approval as needed using the MyTime application Travel arrangement for direct manager and self, using the Egencia platform Setting up meetings or discussions, this includes in-person and Microsoft Teams meetings Submitting IT, Help Desk, Telecom, or Business Automation Platform requests as needed. These requests my include, but are not limited to: Hardware/Software Requests
LAN ID Requests Corporate Card Requests Application Requests Mobile Device requests Guiding team on basic software functionality or troubleshooting as needed. This includes but is not limited to: Teams, Adobe Acrobat Professional, Word, Excel, Outlook, Power BI, Autodesk Build, PowerPoint, internet browsers, and as mentioned previously, Maximo, SharePoint, MyTime, and Content Navigator. Learns and researches new processes, applications, roles, and issue resolution when needed. Requirements: 2+ years of experience in a similar role MS office experience and proficient in Excel SharePoint/Maximo experience
