Job Description Summary

This role is responsible for performing the administration and operational support functions for the Managing Directors of Engineering. The Executive Operations Support role will support engineering operations within each given region while ensuring the highest level of professionalism in all matters.

Job Description

Provide full administrative and operational support to the MD’s of Engineering, including but not limited to the below:
o Process bi-weekly expense reports
o Schedule Meetings
o Book Flights / Hotels
• Schedule and attend regional/sub-regional engineering update meetings and provide meeting minutes timely & attendance, as requested, including but not limited to the below:
o Monthly Senior Directors Call
o Discipline Training Calls
• Assist with PMA’s/engineering-only contracts
• Assist with National Engineering Only Accounts, as applicable
• Capital project collection for all regions/markets, annually
• Compile, prepare and update regular and ongoing engineering reporting documents as directed
• Write reports, put together presentations and spreadsheets, as needed
• Support the development of case studies on projects driven by Engineering
• Support management of PCA contract detail
• Collect documents/spreadsheets from Sub Regionals to ensure consistency/uniformity across markets, as requested, including but not limited to the below:
o Organizational Charts
o Contact Lists
o Training Compliance Reports
o Engineering Assessment Tracking
 Compile those documents for the MD of Engineering’s review
• Safety Skills new user setup, user deactivation, and reporting
• Assigning Driver Safety Courses Annually after collecting MVR Data (Process TBD)

Following up on engineers with past due trainings (Anti-Phishing, Global Compliance, Fundamentals of Customer Experience, Etc.)
• Maintain National and Regional SharePoint Sites and update/maintain AD Security Group access for markets
• Assist regionals with Workday updates, allocations and training
• Logging and processing any/all information as deemed appropriate by the MD of Engineering
• Updating the CRE New Properties Sub Regional Spreadsheets weekly and checking monthly for updates
• Create & maintain a monthly compliance chart and ensure that all the tasks required of this position are complete each month and send the chart to stakeholders
• Over-communicate with each leader on current duties, estimated time to completion, and the nature of the work being done so that priorities can be established and implemented

• Executive-level professional support experience required

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.


The company will not pay less than minimum wage for this role.


The compensation for the position is: $40.00 - $40.86538
