Job Title: Executive Administrator

Primary Objective: The Executive Administrator will serve as a critical strategic partner to senior leadership, providing exceptional organizational support, priority management, and administrative excellence with a unique blend of meticulous attention to detail and navigating organizational dynamics with a delicate balance of firmness and diplomacy. ...

Compensation: Competitive, commensurate with experience and demonstrated organizational excellence
Position: This is a possible hybrid position with 1-2 days in Danville. It will start out part-time at 30 hours per week but could potentially increase to full-time hours.

Responsibilities:
Priority and Task Management:
Develop, maintain, and proactively manage comprehensive priority task lists for the executive team
Create systematic tracking mechanisms to ensure critical deadlines and objectives are consistently met
Strategically sequence and prioritize tasks based on urgency, importance, and strategic impact
Implement and maintain sophisticated organizational systems that enhance executive productivity

Administrative Leadership:
Serve as the executive's primary organizational gatekeeper
Skillfully manage communication flows, screening and routing communications with discretion and efficiency
Coordinate complex scheduling, anticipating potential conflicts and proactively resolving them
Prepare detailed meeting agendas, comprehensive briefing materials, and follow-up documentation

Proactive Task Facilitation
Tactfully redirect the executive's focus when tasks are pending or deadlines are approaching
Provide gentle but firm reminders about outstanding commitments and priorities
Develop and maintain a comprehensive understanding of the executive's strategic objectives
Anticipate potential bottlenecks and propose solutions before they become problematic

Communication and Interpersonal Skills
Demonstrate exceptional diplomatic communication, balancing assertiveness with professional courtesy
Navigate complex interpersonal dynamics with grace and strategic insight
Communicate clearly and confidently with internal and external stakeholders
Represent the executive's interests with precision and professionalism

Working hours: 8:00 AM - 3:00 PM
