Executive and Team Assistant
**What’s the role?** We’re looking for a highly organised and proactive Executive and Team Assistant to provide high-level proactive support to the General Manager and Senior Leadership Team in Melbourne. This role is key to ensuring smooth day-to-day operations and combines executive-level administrative tasks with team assistance duties to ensure seamless operation and effective coordination across the department. Proactivity, critical thinking, and an ability to anticipate needs are essential, as this role will involve identifying areas for efficiency, spotting and addressing gaps before they become issues, and continuously improving workflows. If you thrive in a fast-paced environment, enjoy problem-solving, and have a knack for keeping things running seamlessly, we’d love to hear from you. **Key Responsibilities:** _Executive Support_ + Manage complex calendars, ensuring scheduling efficiency, resolving conflicts, and anticipating needs. + Prepare agendas, materials, and supporting documentation for senior leadership meetings. + Coordinate travel arrangements, considering logistics, backup plans, and location-specific requirements. + Prioritise tasks, acting as a gatekeeper for the General Manager and Senior Leadership Team to ensure focus on high-impact activities. + Oversee expense reporting and budget tracking, flagging key insights and concerns to leadership. _Team & Operational Support_ + Support internal projects by tracking deliverables, managing documentation, and flagging risks. + Draft and distribute internal communications, meeting recaps, and key announcements. + Maintain accurate records and data management systems for easy access and future use. + Track annual leave updates and support leaders in managing approvals. _Problem-Solving & Process Improvement_ + Proactively identify inefficiencies and suggest workflow improvements. + Build strong relationships across departments, facilitating collaboration and engagement. + Ensure the SLT has access to the right resources, tools, and information for success. + Support departmental events, coordinating logistics, budgets, and technical needs. _General Administration & Ad Hoc Support_ + Assist with onboarding new team members, preparing workstations, and ensuring a smooth integration. + Act as a key liaison with IT and facilities to resolve tech issues and maintain office efficiency. + Ensure compliance tracking is up to date, proactively managing deadlines and renewals. + Respond to urgent requests and unforeseen challenges with efficiency and a solutions-driven mindset. + Manage visitor experience and guest lists for key events in collaboration with the sales team. **Who are you?** + Minimum of 5 years of experience providing executive support, ideally to senior leadership or C-suite level. + Experience in managing complex schedules, prioritising tasks, and handling sensitive information. + 2+ years of experience in team or administrative support, demonstrating the ability to assist broader teams, manage group events, and coordinate multiple stakeholders. + Demonstrated success in proactively identifying and resolving issues, ideally with examples of improvements to processes or workflows based on personal initiative. + Experience using data to support decision-making, including basic data analysis (Excel, Google Sheets, or other reporting tools) and preparing reports or insights to help senior leaders with strategic decisions. + Experience managing or coordinating small-scale projects or events, including budget management,timeline tracking, and resource coordination. Exposure to project management tools (e.g., Asana, Trello, Monday.com) is a plus. + Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and digital communication tools (Slack, Teams, Zoom), with the ability to quickly learn new tools and systems as needed. + Demonstrated ability to thrive in fast-paced, high-stakes environments with frequent changes in priorities. + Adaptability and experience managing multiple tasks under tight deadlines. + Experience building relationships with diverse stakeholders and facilitating clear, concise communication. + Previous experience handling confidential or sensitive information is a strong asset. **News Benefits** News Benefits is our way of saying thank you to our people for their valued contribution to News, our audiences, clients and communities.
