Executive Assistant, AWS Data Center Ops

Amazon Web Services is seeking an experienced administrative professional to support the Vice President of AWS Data Center Planning and Delivery based in Seattle. This role requires the ability to complete complex tasks and small projects with little to no guidance, lead staff meetings and other business operations, coordinate complex travel, and collaborate with other senior leader executive assistants to quickly and efficiently calendar critical and sensitive business meetings.
Key job responsibilities
• Provide seamless support to the Vice President and leadership team to support organizational priorities
• Proactively manage leader's calendar with attention to accuracy, detail, and allocation of time to promote productivity; recognizing the need to re-prioritize as appropriate
• Coordinate domestic and international travel in compliance with existing policies and procedures, ensuring effective use of time and resources
• Track and help drive completion of key deliverables and following up on outstanding items
• Act as a liaison for direct reports
• Drive and organize key team activities, such as staff meeting agendas, global team meetings, offsites, team-based events etc.
• Proactively look around corners and take the initiative to alert leaders on future actions required of them, potential scheduling conflicts and other forward-looking items
• Anticipate challenges and plan accordingly ahead of need (outside of calendaring i.e. staffing, development, talent pipeline, etc.)
• Understand business priorities and proactively look for ways to improve processes to create efficiency and scale for the leadership team, ranging from organizational communication mechanisms to tools to planning meetings
• Plan the annual organizational calendar and facilitate the integration and prioritization of emerging priorities
• Support and, at times, manage small to medium projects based on organizational needs and professional development interests
• Build relationships and work collaboratively with Executive Assistants throughout the team and across the company

Working in a highly ambiguous environment, you will demonstrate initiative, complete tasks and projects quickly, and proactively take action without having to know the total picture. You will learn organizational structures and objectives of the teams you support, as well as build a strong internal network. You will apply a superior attention to detail, great organizational skills, and the ability to meet tight deadlines and juggle multiple critical requests while maintaining flexibility, a sense of humor, and most importantly, grace under pressure. Over time, you will build deep and trusting professional relationships with the leaders and their teams, which will blossom into strong partnerships that provide opportunity for special projects with increased responsibility and long-term career growth.
