The Executive Assistant to the CCO will act as its “right hand.” This role will manage a wide range of complex and confidential responsibilities including calendar management, organizing leadership and external meetings, maintaining accountability for commitments, coordinating schedules and international travels, and acting as a liaison with department heads, country leaders and internal stakeholders. This is a key facilitative role interacting daily with Benefit’s global team, Benefits global retail teams, LVMH leadership and internal/external stakeholders.

This role will ensure the CCO stays organized and focused, facilitating information flow, and problem solving with a bird’s eye view on strategy. The ideal candidate is incredibly tactful, can use independent judgement and has a high level of discretion.

 


What You’ll Do:

Manage scheduling. Coordinate internal and external meetings across myriad time zones ensuring that no-one gets forgotten. Provide support to manage meetings including guest registration and orders as needed; Proactively resolve scheduling conflicts. Perform expense reporting, coordinate approval and processing of invoices, and support contract signing/renewals. Assist in creation of high quality, on-brand reports and presentations. Coordinate and book travel arrangements, including flights, hotels and visa requirements as needed. Provide logistical and technical support for virtual service delivery and virtual team meetings (scheduling, registration support when needed, breakout room configuration, and tech support) Organize, execute, and assist with team activities (staff meeting agendas, all-hands meetings, off-sites, and team social events) to contribute to our culture and growth. Manage weekly staff meetings including setting agendas, creating meeting notes, while also tracking and driving the completion of key deliverables and action items. Proactively work with CCO to ensure they are prepared for meetings, interviews, travel, and briefings. Contribute to the efficiency and productivity of the organization by proactively working with business partners including EAs and Senior Executives in other areas of the company. Maintain the rhythm of the business by developing and updating the global, annual calendar of key activities and deliverables. Anticipate when externalities impact plans or shifting priorities require changes. Manage information in the form of reports, correspondence, and conversations, in a manner which ensures confidentiality and professionalism. Meet and greet clients and other visitors; create a welcoming environment. Copy sensitive files, document binding, answering phone, and project specific assistance. Conference room scheduling and executing catering orders. Distribute meeting materials. Vendor and subcontractor invoice management and tracking Organize any additional logistics (i.e., lunch reservations, etc.) on a case-by-case basis.

 

Qualifications:

Bachelor’s Degree and 1-3 years administrative support experience; equivalent experience may be accepted. Advanced proficiency with Microsoft Office and Outlook (Word, PowerPoint, Excel), including the ability to create charts, graphs, tables, and presentations. Advanced proficiency with video conferencing software (ex: Zoom, MS Teams) Proficiency with LinkedIn platform Experience working at a global organization a plus Demonstrated expertise with proofreading and document formatting, careful attention to detail. Experience communicating with multiple teams simultaneously verbally and in writing to coordinate work around multiple tasks and multiple deadlines with a variety of project teams. Ability to quickly adapt to new computer programs/software. Advanced organizational skills. Ability to speak French, a plus.  

Schedule:

Hybrid - requires onsite presence weekly

The target salary range for this position is $85,000-$110,000 annually. The actual salary offered will depend on a variety of factors, which may include, as applicable, years of relevant experience; certifications or other professional licenses held; other legitimate, non-discriminatory business factors specific to the position; and the geographic location in which the applicant lives and/or from which they will perform the job. This position is eligible to earn an annual bonus.
