Job Description:

National Geographic is seeking a highly organized and proactive Executive Assistant to support the Executive Vice President of Documentary Films. The ideal candidate will thrive in a fast-paced environment, possess exceptional communication skills, and have a strong ability to manage competing priorities. The successful candidate will be responsible for managing day-to-day administrative tasks, acting as a liaison between various internal and external stakeholders, and assisting with key projects related to National Geographic Documentary Films (NGDF).

The EVP oversees a wide range of award-winning documentary films, including recent Oscar nominees Fire of Love, Bobi Wine: The People’s President, as well as Sugarcane, Blink, and the upcoming SALLY premiering at Sundance 2025. This position offers the opportunity to work with a high-caliber team in an exciting, dynamic space in documentary filmmaking.

Please note that this role is currently located in the Century City offices. The team is expected to transfer to Burbank by end of 2025.

Responsibilities:

Administrative Support:Manage phone calls, greet guests, schedule meetings, and coordinate meals.Maintain an organized calendar of appointments and meetings for the EVP.Coordinate and manage files and documents, ensuring proper organization.Handle and track special projects as needed.Flexibility to work overtime, with occasional weekend work, as needed.Liaison and Coordination:Act as a liaison with other departments at National Geographic, including offices in Washington, D.C., and New York.Interact professionally with internal and external contacts, representing the EVP in a timely and efficient manner.Facilitate communication and collaboration to ensure tasks and projects are executed seamlessly.Travel & Expense Coordination:Coordinate both domestic and international travel arrangements for the EVP.Manage office expenses, including processing travel and expense reports.Handle miscellaneous administrative duties, such as filing and ensuring smooth office operations.Project Assistance:Assist with departmental projects and events, ensuring smooth execution and meeting deadlines.Track and log documentary film submissions, offering feedback on creative materials.Coordinate special projects, including maintaining tracking grids and relevant documents.Office Management:Oversee office supplies inventory and manage orders.Act as the point person for IT-related issues in the office.Handle basic office tasks such as mail distribution, filing, and copying needs.

Basic Qualifications:

1+ years of experience in an office environment, particularly in administrative roles within the entertainment industry. Experience in talent agencies or documentary film departments/production companies is preferred.Proficiency in Microsoft Office Suite, especially Excel, Word, and Outlook.Exceptional attention to detail, with a strong ability to manage multiple tasks simultaneously.Ability to work efficiently in a fast-paced and evolving environment.A professional, positive, and adaptable attitude with excellent communication skills.Ability to maintain confidentiality and handle sensitive information with discretion.

Preferred Qualifications:

Experience working in documentary filmmaking or with high-level executives in the entertainment industry.Previous exposure to handling creative materials, such as film submissions or production documents.Strong organizational skills with the ability to proactively identify priorities and anticipate needs.

Education:

Bachelor’s degree or equivalent work experience.

The hiring range for this position in Los Angeles, CA is $64,300.00 to $86,200.00 per year based on a 40-hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
