Essential Responsibilities
Supporting Corporate Officers and being a team member of the executive admin team.Prioritizing conflicting needs, handling matters expeditiously, and proactively engaging on and seeing projects through to successful completion within strict deadlinesMaintaining and coordinating calendars, scheduling appointments and meetings for executive business leadersPlanning, scheduling, and arranging business meetings and travel itineraries; preparing and reconciling expense accountsManaging domestic and international travel arrangements, including coordinating visa applicationsResponsible for paying & tracking invoices and assisting with issues relating to invoicesProcessing T&L expenses and assisting in managing expense accounts and budgetsPreparing communications such as organization announcements and newslettersPreparing presentations, reports, spreadsheets, meeting minutes and other business informationUsing discretion in interfacing with all levels of individuals, internally and externallyAnswering phones, directing calls to appropriate individuals and sending emails to the team regarding incoming calls and requestsPreparing, evaluating, and editing incoming and outgoing communications for the executivesServing as a delegate for various approval processes for executive business leaders, including expense reports, computer peripherals, electronic signatures, etc.Keeping org charts, seating, and distribution lists up to dateSupporting teams in planning and executing customer and large internal events, including all logistical details, scouting locations, coordinating scheduling, accommodations, and cateringDirecting business contacts to appropriate managersManaging conference / huddle rooms and common office areasOrdering and tracking general office suppliesCoordinating the offices and employee supplier needsInteracting with vendors and building administration for maintenance needs, employee access to parking, fitness centerLeading special projects as requestedProperly handling and protecting confidential business informationQualifications
Minimum 5 years of administrative experience in a corporate environment supporting multiple executivesHigh School Diploma/GED required, Bachelor's Degree preferredPrevious experience with international travel requirementsProficient in Microsoft Office (Outlook, Word, Excel, PowerPoint) and familiar with video conferencingExperience in planning and executing meetingsStrong written and verbal communication skillsExperience working in a matrixed organizationDemonstrated critical thinking skillsPrevious experience working for a global multinational Fortune 500 companyRelocation assistance may be provided if eligibility requirements are met.Who are we?
