The position serves as an important liaison to internal and external contacts and stakeholders, establishing and maintaining the professional interface/impression of the People & Culture (previously Human Resources) Department.  Also provides support to the People Director, North America.

Main Responsibilities:

Serves as confidential liaison on highly sensitive issues to other senior executives and members of the People & Culture team

Maintains calendar and inbox of the Head of People, Global Specialty Care; handling and responding to correspondence on behalf the manager with internal and external stakeholders/customers

Capture and prioritize non-routine needs on a real-time basis, as well as keeping track of manager’s due dates for tasks and action items for on time completion

Anticipates manager’s needs for various commitments and prepares accordingly

Meeting planning, including coordinating on-site and off-site meetings with internal and external stakeholders/customers.  Arrange and provide support for meetings

Provides routine administrative support and maintains files according to business standards.  Support the consolidation, preparation and/or design of documents, spreadsheets, and presentations

Coordinates travel arrangements including registrations and liaison with the travel department for the manager, for both domestic and international trips

Provides detailed agendas for international visitors, including Executive Committee members, such as setting up their meetings, hotel and ground logistics

Prepares expense reports

Interface regularly with staff to complete tasks

Assist other admins as necessary, work together collaboratively and share best practices both with domestic and international admins

Utilize Workday as needed and requested

Completes other duties as requested

About You

Key Competencies:

Present a positive, professional and solution focused image for the People and Culture Team

Ability to interact with all levels of the organization including senior management

Strong organizational and communication skills

Extremely detail oriented with excellent follow up skills

Ability to work independently as well as part of a team

Ability to manage multiple, sometimes conflicting priorities in a fast-paced and demanding environment and ensure smooth and efficient flow of day-to-day operations

Ability to work with multiple time zones and experience working in an international environment

Empathy, sensitivity and discretion handling sensitive and extremely confidential matters

Basic Qualifications:

 High School Diploma

10 years' experience as an Administrative or Executive Assistant

Ability to travel approximately 10% of time

Preferred Qualifications:

Associate's Degree from an accredited college or university

Highly proficient with Microsoft Office (Outlook, Excel, Word, PowerPoint)

Working knowledge of Concur, Workday, MyTeams, Sharepoint
