Our Technology Center is seeking a dedicated Executive Assistant to support our Technology Center Lead and Managing Director. In this pivotal role, you will ensure the smooth operation of our center while providing essential leadership and administrative support.
Key Responsibilities:
Manage Schedules and Calendars: Coordinate and optimize the TC Lead's calendar by scheduling meetings, appointments, and events effectively.
Organize Meetings and Events: Plan and execute team meetings, conferences, and virtual gatherings, managing all logistical details to ensure seamless operations.
Handle Confidential Materials: Maintain discretion and integrity when managing sensitive information, ensuring compliance with company policies.
Write Meeting Minutes: Accurately document meeting discussions, decisions, and action items, utilizing AI tools as necessary.
Travel Planning: Arrange international travel for the TC Lead, including itinerary management, accommodations, and transportation logistics.
Expense Reporting: Prepare and submit timely, accurate expense reports in alignment with company policies.
Effective Communication: Act as the liaison between the TC Lead and other executives, promoting clear and effective communication with internal and external stakeholders.
Task Coordination: Complete assigned tasks efficiently, ensuring deadlines are met while managing competing priorities.
Leadership in Administration: Mentor and support other administrative staff within the IT department, fostering collaboration and sharing best practices.
Project Leadership: Drive small projects focused on enhancing simplicity and efficiency in the department as part of our continuous improvement initiatives.
Qualifications:
To succeed in this role, you should possess:
Strong communication and interpersonal skills.
Proven ability to prioritize multiple assignments effectively.
A minimum of 5 years of administrative experience.
Fluency in Czech/Slovak and English, both spoken and written.
Proficiency in MS Office applications.
Experience organizing international travel is advantageous.
Previous experience in event planning and coordination is a plus.
Leadership skills to guide and support administrative team members.
