GENERAL PURPOSE

The Executive Assistant 3 will independently perform advanced, diversified, and confidential administrative support and project management activities for the Leadership Team (LT). May assist one or more leadership team members and their direct team in a staff capacity by handling a wide variety of situations involving administrative office functions, relieving LT members of all administrative detail. Will receive oversight and guidance from the executive administrator to the CEO. Performs all duties in a highly confidential and professional manner.

ESSENTIAL FUNCTIONS

Effectively and professionally interacts with a variety of internal and external people at all levels of the organization including the client experience team with LT coverage for customer meetings.

Handles multiple project and administrative tasks simultaneously in a fast paced environment. Anticipate and manipulate outcomes for continuous improvement. Continuously learns.

In the absence of the executive(s) may advise others of the executive's views on policies or issues and may independently initiate activities and responses on the behalf of the assigned executive leader(s).

Maintains and updates administrative records; processes and tracks expense information related to leader/department activities; manages budgets.

Manage an extremely active calendar of appointments; ensure that the LT member stays on track during their day; prioritize meeting requests and handle conflicts or scheduling changes proactively.

Manage Team Events, Monthly All-Hands meetings, Activities and Projects.

Operates standard office equipment, personal computers utilizing standard and advanced office automation software, and mobile telecommunication tools.

Participate in the quarter-end Committee and quarterly Board material compilation process.

Plan and coordinate complex administrative assignments and special projects within and/or across functional areas; conduct research, gather, organize, and assess information, and develop and prepare recommendations.

Provide backup and coverage for other EA’s, as needed.

Schedules travel arrangements both international and domestic, meetings and related set up arrangements.

Screens telephone calls, visitors and correspondence of a highly critical business nature; resolves routine and complex inquiries as appropriate.

Serves as a trusted resource and confidant to executive(s) and their teams.

With the highest degree of accuracy and detail, prepares routine and non-routine correspondence, memoranda, reports, material for presentations and other documents as appropriate. May compose documents for executive review and approval.

Work closely and effectively with LT member to keep them well informed of upcoming commitments and responsibilities, following up appropriately.

Works with highly confidential and proprietary information.

Performs additional responsibilities as requested to achieve business objectives.

QUALIFICATIONS

Education/Experience

Bachelor’s degree in business or related field, or equivalent experience.

7-10 years of administrative support experience.

5+ years of experience supporting executive-level positions.

Skills and Abilities

Excellent organization, time management, and decision making skills.

Ability to 'read the room', to manage up, down, and sideways and communicate information, ideas, procedures, and process in a logical sequence.

Exceptional interpersonal skills; written and verbal communication skills.

Excellent personal computer skills and knowledge of office automation software and communication tools currently used in the MillerKnoll office environment.

Proven expertise handling detailed work in an independent, professional, and confidential manner.

Demonstrated ability to handle multiple assignments simultaneously in time critical situations, with an ability to prioritize work.

Demonstrated ability to be flexible in conducting work activities under continually changing schedules, business conditions, and priorities.

Demonstrated ability to support multiple senior executives.

Ability and willingness to travel as needed to achieve business objectives.

Demonstrated ability to demonstrate high levels of integrity, influence and serve as a trusted confidant.
