As the Executive Assistant (EA) I, the primary responsibility is to collaborate with other EAs and teams. The role encompasses a diverse spectrum of administrative obligations and supports respective leaders. Responsibilities will include managing schedules, organizing travel arrangements, compiling reports, and overseeing visitor coordination. This position necessitates unwavering attention to detail, exceptional time management, and a thoroughly organized approach. Notably, this support is for leaders below the Director level.

Essential Duties:

·      Manage the standard calendar and schedule and coordinate meetings with the leadership team or specified executive.

·      Heavy conference room reservations

·      Assisting in coordinating interviews involving members of the Leadership Team

·      Coordinating offsite workshops, meetings, and events

·      Catering – food / meal orders for delivery and pick up.

·      Travel items to include establishing membership accounts & profiles, booking travel, and expense reports.

·      Inputting, monitoring, and overseeing expense reimbursements.

·      Arranging visitor accommodations, including hotels, transportation, meals, tours set up, and arrival/parking/entrance info.

·      Cultivating robust professional relationships with internal and external entities, including customers, hotels, and restaurants

·      Securing approvals/signatures for contracts, NDAs, etc.

·      Safeguarding confidential schedules, correspondence, and personal information

·      Managing schedule sheets, data entry, and record maintenance

·      Providing direction and assistance for processes on items like company credit card applications

·      Demonstrating initiative-taking problem-solving abilities

·      Continuously seeking ways to enhance and streamline processes.

·      Undertaking additional assignments as directed by the leadership. 

Skills & Qualifications:

·      A high school diploma, GED, or an equivalent qualification, or a combination of education and relevant experience. *Relevant experience includes a minimum of one year of experience in an administrative support role.

·      Minimum of 2 years’ experience in a fast-paced, high-volume administrative support, executive assistant, coordinator, or similar role.

·      Strictly adhere to the principles of confidentiality and discretion in all matters.

·      Exceptional written and verbal communication skills are necessary, including experience in supporting or interfacing with staff.

·      Recognizing the significance of first impressions and demonstrating professionalism are key attributes we are looking for.

·      Proficient in utilizing computer programs and adept at rapidly acquiring new technological skills. Skilled in leveraging Word, Excel, and PowerPoint to craft compelling proposals, facilitate project planning, provide status updates, and deliver executive presentations.

·      The capacity to excel in a challenging environment characterized by frequent interruptions is imperative for success in this position. 

Preferred Qualifications:

·      Associate of Arts or Associate of Science in Business Administration or similar field.

·      Two or more years of experience in an administrative support role, preferably supporting executive-level associates.

·      Proficiency in translating between English and Japanese, addressing inquiries from internal staff, external entities, and individuals, and effectively conveying messages, posing queries, and presenting information to leaders in both languages

Pay and Benefits

The pay range for this position is $31.25 - $38.46/hr.
