Job Description
We are seeking a dedicated and experienced Executive Assistant to work directly with the CEO of a small family-owned company that manufactures and distributes high-temp adhesives. This is a new role within the company, offering a unique opportunity to support and collaborate closely with the CEO.
ResponsibilitiesManage the President's calendar, schedule appointments, and coordinate meetings.Maintain and update itineraries for internal meetings.Screen and prioritize incoming emails, calls, and correspondence.Prepare and edit documents, reports, and presentations as needed.Prepare (or assist with) meeting agendas, attend meetings, and record minutes.Ensure the President is well-prepared for all meetings with necessary notes, materials, and information.Follow up on action items resulting from meetings.Act as a liaison between the President and internal team members, as well as selected external vendors and clients.Coordinate and organize special projects as directed by the President.Prepare correspondence to internal team and to outside clients/vendors as needed and directed.Keep the President organized by proactively managing tasks and deadlines.Essential Skills5+ years of executive administrative experience.Proficiency in Microsoft Office Suite, including Excel (Pivot Tables, V Look Ups, Filtering).Experience in C-suite calendar management and scheduling.Strong organizational and communication skills.Ability to handle confidential information with discretion.Bachelor's degree.Additional Skills & QualificationsExperience with event coordination.Proficiency in Microsoft Outlook.Work Environment
The role is based in a small family-owned company located in Brooklyn near Sunset Park. The Executive Assistant will work on the 2nd floor alongside the administration team, which includes AP, accounting, customer service, finance, and sales departments. The office is situated in a warehouse/industrial space in Brooklyn. The position follows a Monday to Friday, 9 am to 5 pm schedule with a hybrid work setup, requiring 3 days in the office.
Pay and Benefits
The pay range for this position is $35.00 - $45.00/hr.
