Executive Assistant
**Position Overview** Are you a master of organization, a proactive problem-solver, and thrive in a fast-paced, dynamic environment? If so, we invite you to join us as the Executive Assistant supporting our CFO and VP of Operations. This is not just an administrative role; it's an opportunity to be a strategic partner, contributing directly to the efficiency and effectiveness of two key leaders within our organization. **Key Accountabilities** + **Executive Support:** Provide comprehensive administrative support, including managing complex calendars, scheduling meetings across multiple time zones, and coordinating travel arrangements (domestic and international). + **Communication Management:** Act as a primary point of contact, screening calls, managing correspondence, and drafting professional emails and presentations. Ensure timely and accurate flow of information. + **Meeting & Event Coordination:** Plan and execute meetings, conferences, and special events, including preparing agendas, coordinating logistics, and managing catering. + **Project Assistance:** Assist with special projects, conducting research, compiling data, and preparing reports as needed. This may involve collaborating with various departments and stakeholders. + **Expense Management:** Process expense reports, track budgets, and reconcile financial records with meticulous attention to detail. + **Confidentiality:** Handle sensitive information with discretion and maintain strict confidentiality. + **Gatekeeping:** Skillfully manage access to the executives, prioritizing requests and ensuring efficient use of their time. + **Problem Solving:** Proactively identify and resolve potential issues, anticipate needs and take initiative to ensure smooth operations. **Required** + 5+ years of experience as an Executive Assistant supporting senior-level executives. + Proven ability to manage complex calendars, coordinate travel, and plan events. + Exceptional organizational, time-management, and prioritization skills. + Excellent written and verbal communication skills in both English and Japanese + Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). + Experience with various specialized software (ex. Concur). + Strong attention to detail and accuracy. + Ability to work independently and as part of a team. + Bachelor's degree preferred. + Demonstrated ability to maintain confidentiality and exercise discretion. + Proactive, resourceful, and able to thrive in a fast-paced environment. **Nice to have** + Experience in retail/fashion/luxury industry. + Possess strong interpersonal skills to effectively engage with diverse individuals. + Demonstrate proficiency in managing procedures and optimizing efficiency, including visitor management. + Exhibit adaptability and flexibility in handling various situations. **Job Identification** : 61334 **Job Category:** : General Management **Assignment Category** : Regular Full-time **Remote Positions** : No **Professional Experience** : Minimum 5 Years Equal Opportunity Employer
