Executive Assistant
Position Overview International has a great opportunity for an Executive Assistant at our our corporate headquarters in Lisle, Illinois. The position will report in to the Vice President of Commercial Strategy and Operations and support multiple Vice Presidents within our Commercial organization.   The individual will be responsible for performing a wide array of administrative functions requiring confidentiality, initiative and sound decision making along with a high level of professionalism.  The successful candidate is someone who can address problems independently and apply both strategic and execution-oriented thinking while anticipating executive needs in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, resourceful, and efficient.   Responsibilities Structures, organizes, and expedites the activities and workflow of the supported executives.  Prioritize schedules, develops, and initiates a system of follow-up for projects, meetings, and issues to assure the efficient and effective management of the supported executives. Maintain and manage executive calendar and some email inboxes Schedule meetings and resolve conflicts Create PowerPoint presentations Coordinate travel arrangements  Organize and may attend executive staff meetings, take meeting minutes, and distribute action items to attendees Plan and support organizational events and logistics Assist with arrangements for visitors to our Lisle headquarters Coordinate IT issue resolution Complete and manage expense reports and submit them in a timely manner with complete accuracy Quickly identify critical issues and navigate priorities based on last minute changes Assist and coordinate special projects Manage multiple priorities simultaneously with attention to detail and accuracy, and reprioritize as needed Manage third party requisitions Works with the VP’s direct reports to gather any information needed by the executive and compiles information for review Support the direct reports to VP as needed Minimum Requirements Associate’s degree and at least 3 years of executive administrative experience OR At least 5 years of executive administrative experience Additional Requirements Qualified candidates, excluding current employees, must be legally authorized on an unrestricted basis (US Citizen, Legal Permanent Resident, Refugee or Asylee) to be employed in the United States.
