This position offers the flexibility of a hybrid schedule with the expectation of 3 days per week in our Chicago office, and 2 days remote from home.

 

We are seeking a highly organized and detail-oriented individual to join our team as an Executive Assistant. The successful candidate will provide comprehensive administrative and project coordination support to our Chief Technology Officer and senior technology management staff, enabling them to focus on their core responsibilities. As an Executive Assistant, you will be responsible for managing schedules, coordinating meetings, travel arrangements, preparing reports, and handling confidential information with the utmost professionalism. Your exceptional communication and problem-solving skills, combined with your ability to prioritize tasks and work independently, will be crucial in ensuring the smooth operation of our executive team.

 

Responsibilities will include, but are not limited to:

Manage complex executive calendars, including scheduling and coordinating meetings, conferences, and travel arrangementsPrepare and edit correspondence, presentations, and reports as neededMaintain a high level of confidentiality when handling sensitive informationAct as a gatekeeper, screening incoming calls, emails, requests, and redirecting or responding appropriatelyOrganize and maintain files, records, documents, ensuring accessibility and accuracyConduct research and compile data for reports or presentations as requiredProactively anticipate executive needs and provide necessary support to ensure their efficiency and productivityAssist with the coordination and logistics of special projects or events as assignedServe as a point of contact between executives, employees, clients, and external partnersCollaborate with staff to ensure seamless office operationsFlexibility and adaptability to frequently changing priorities and demands while maintaining professionalism, discretion, and integrityDemonstrated ability to build consensus, establish trust, and communicate effectivelyDemonstrated ability to identify and implement process enhancements and efficienciesPrioritize workload to focus on highest‑impact tasks, balancing short‑term urgencies with long‑term objectives Qualifications

Qualifications:

Proven experience as an executive assistant or similar role, preferably in a fast-paced corporate environmentExcellent organizational skills, with the ability to prioritize multiple tasks and meet deadlinesStrong attention to detail and exceptional problem-solving abilitiesExcellent written and verbal communication skillsProficient in using Microsoft Office Suite and other relevant software applicationsAbility to handle confidential information with the utmost discretion and professionalismStrong interpersonal skills and the ability to build relationships with stakeholders at all levelsResourcefulness and ability to work independently with minimal supervision Award-Winning Benefits
