Job Summary

The role reports into the Executive Assistance and Travel Management Lead for Manulife Business Processing Services (“MBPS”). The Executive Assistant is responsible for providing support to Vice President/s (VPs). He/she will be responsible for the effective management of priorities through high quality administration, manages their diary, arrange travel requirements, crafts and organizes visitor itineraries, coordinates and attends meetings, assists in agenda preparation, takes minutes and follows through on meeting actions, and handles the executive’s expense reimbursements.

Minimum Requirements to Hire:

EDUCATION: College degree of any courses

EXPERIENCE: At least 6 years of relevant experience

SCHEDULE: Amenability to work on night shift schedules, weekends, and Philippine holidays (when needed)

LOCATION: Amenability to work in U.P. Ayala Land Technohub, Quezon City

HYBRID WORK ARRANGEMENT: Amenability and readiness to work onsite and from home anytime (dependent on business need AND/OR current external environment/situation)

Minimum Skills to Hire:

College degree of any courses6+ years of relevant experience in an Executive Assistant roleStrong oral/written communication skills required to interact with senior officers and representativesExcellent meeting planning and organizational skills (planning, coordination, priority setting, task management and follow through)Ability to manage complex and sensitive work situations with sound judgement, discretion, and empathyHighly collaborative and results-orientedProficient in making reports and deck/presentationsAdvanced Proficiency in MS OutlookProficient in MS Office Suite includes Power Point, Excel, Word, One NoteStrong interpersonal skills and ability to work effectively across cultures. Excellent English written and verbal communication skills.Flexible on shift and overtime may be required when business visitors are on site.

Accountable to Vice President/s (VPs), the Executive Assistant is primarily responsible for the effective management of priorities through high quality administration and follow through of deliverables.

Responsibilities include the following:

Manages the diary of a VP and arrange travel requirementsFacilitates departmental travel requirementsCrafts and organizes visitor itineraries, conduct research to prepare background information and briefing documents on business visitorsCoordinates and attends meetings, assists in agenda preparation, takes minutes and follows through on meeting actionsHandles the expense reimbursementsArrange technology desk side support for the executives and their business visitors when requiredAssist with the planning and implementation of departmental events and activitiesHelp draft and send announcements on behalf of the executiveAssist in creating draft presentations if neededMinor admin assistance to the teamActs as back-up to other Executive Assistants
