Purpose:  

The Executive Assistant for the office of the CEO plays a pivotal role in ensuring the smooth and efficient functioning of the executive office. By supporting routine daily tasks such as ordering lunch, coordinating travel, and scheduling meetings, this position enables the CEO to focus on strategic initiatives and leadership.  

Location: This position will work onsite out of our home office in Sandy Springs, GA Monday-Friday.   


What that looks like day to day:  

Calendar Management: Efficiently manage the CEO's schedule, including scheduling and coordinating meetings, appointments, and travel arrangements. This requires interaction with both internal and external executives and assistants, as well as consultants and business partnersTravel Coordination: Arrange travel itineraries, accommodations, and transportation for the CEO, both domestically and internationallyMeeting Preparation: Prepare meeting agendas, materials, and briefings to ensure the CEO is well-prepared for meetings and presentationsDocument Management: Organize and maintain important documents, reports, and files, ensuring easy access and retrieval when neededInformation Flow: Ensure timely and effective flow of information to and from the CEO's office, keeping them informed of critical developmentsFollow-Up: Track action items and deadlines resulting from meetings and initiatives, ensuring that the CEO is aware of and follows through on commitmentsConfidentiality: Maintain the highest level of discretion and confidentiality regarding sensitive information and discussionsPersonal Tasks: Occasionally assist with personal tasks and errands for the CEO, such as ordering lunches, managing personal appointments and/or handling household-related mattersRelationship Building: Build and maintain relationships with internal and external key contacts and stakeholders who work closely with the Office of the CEO Emergency Response: Be prepared to handle urgent matters or crises, providing support and assistance as needed, including nights and weekends as needs arise Continuous Improvement: Identify opportunities to streamline processes, improve efficiency, and enhance the productivity of the office of the CEOProfessional Development: Stay current with industry trends and best practices for executive support to continuously enhance skills and knowledge

Requirements 

2-3 years' experience supporting executive leadership Complex calendar management experienceExperience scheduling domestic and international travel arrangements for management requiredExperience assisting management with the creation of PowerPoint presentations.  Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook.

Resilience, and being able to handle stressful situations with composure are valuable traits.Understanding the CEO's vision and goals and aligning your support with those objectives is essential.The ability to find information, contacts, and resources quickly can save time and add value to the CEO's work.Small details can make a big difference. You should have a keen eye for detail to ensure nothing is overlooked.Ability to juggle multiple tasks simultaneously. The ability to prioritize and manage these tasks efficiently is key.
