The Executive Assistant will support the overall didactic and clinical educational programs at Touro College of Dental Medicine (TCDM). Working directly for the Associate Dean for Academic Affairs, the Executive Assistant will interact frequently with executive leadership, faculty, staff, students and the public. The incumbent in this role must be a resourceful individual who takes the initiative to increase efficiencies and the lead in planning and organizing schedules. The Executive Assistant will work to ensure that TCDM operates effectively, efficiently, and professionally.

Responsibilities

Responsibilities include but are not limited to:

 

Providing administrative support for projects, meetings and other recurring events as well as impromptu or special events within the College/Clinic environmentsAnswer phones and greet visitors and provide customer service to executive leadership, faculty, staff and studentsSchedule appointments and meetings and maintain various schedules and calendarsPrepare communications, such as memos, emails, reports and other correspondenceProcess reimbursements and handle other financial matters including invoicesWrite and edit documents including letters and reportsCreate and maintain filing systems, both electronic and physicalLight administrative work for TCDM’s Marketing and Communications office.Other tasks and duties as assigned. Qualifications

Education/ Experience

 

Associate’s degree required; Bachelor’s preferred.Some administrative experience preferred.

Knowledge/ Skills/ Abilities

 

The abilities to anticipate needs and demonstrate flexibility to work in a high paced environment. A high level of discretion and ability to handle confidential information.Attention to detail.Ability to create and maintain complex spreadsheets, documents, and databases.Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, Outlook MS Office Suite Certifications preferred.Excellent communicator, both verbally and written, with the ability to interact with all levels of people and distinct personalities, internal and external to the organization.Proven customer relations skills with a pleasant “can do” attitude when dealing with various stakeholders.Proven, resourcefulness, decision-making skills, and strategic planning skills.Proven organizational and time management skills with the ability to multitask and prioritize tasks and project manage timelines and processes.Proven ability to work both collaboratively and effectively in a team environment, and independently depending on the tasks at hand.

Physical Demands

 

This position requires compliance with Touro's Vaccine Mandate policy. Maximum Salary USD $65,000.00/Yr. Minimum Salary USD $52,000.00/Yr.
