Description:This position is primarily responsible for medical staff office operations including credentialing and verification of all medical staff providers, managing access for all medical staff at the hospital, managing timecards, schedule, and other duties to support the hospital COO, along with various other duties and special projects.

Under general supervision, this position is responsible for providing executive administrative support to organization by assisting with functions on behalf of the executive(s) and coordinating communications.  Other responsibilities include medical staff office operations, board of directors’ governance, and provider credentialing services.

Executive AssistantResponsible for managing all facets of executive schedule, including commitments to internal and external organizations, to ensure optimal use of time including but not limited to:Schedule set up and schedule adherenceArranges appointments for executive(s) with internal and external personnelPreparation of materials, presentations, communications, and technologyCoordinating venue, facilities, and other accommodationsEnsuring executives are in the right place, at the right time, with the right materials and information, and are briefed on the purpose and intentions of all meetings prior to meeting times and may include preparing executive summaries.Responsible for ensuring the accurate and on-time execution of secretarial and administrative duties including transcription, file and document management, call screening, third party requests, processing outgoing mail,Makes necessary arrangements for administrative meetings, attends and takes minutes; distributing meeting minutes and related material to appropriate individuals; completes follow-up on actions taken at meetings.Compiles, stores, and retrieves management data and creates reports as needed.Responsible for making and managing all travel details to ensure travel runs according to plan, meets quality standards, and is error free.In absence of executives(s), effectively uses available resources to make minor administrative decisions.  Prioritizes communications and correspondence for executive(s).Assists other leadership team members as needed.Coordination and preparation of Board agendas, packets and taking meeting minutes, and other Board duties as assigned.Governance – administers the Board self-evaluation processAssists COO with employee/direct report timecards. QUALIFICATIONS:Must possess proven oral and written communication skills.Proficiency in the use of Microsoft Word, Excel, Outlook, and PowerPoint to produce correspondence and documents and maintain presentations, record, spreadsheets and databaseMaintains an effective working relationship with internal and external customers.Knowledge and experience in information privacy laws, access, release of information and release control activities.High moral and ethical character.Independent, objective, detail-oriented, and analytical.

EDUCATION: Minimum of Associates Degree, preferably in a healthcare-related field.  Bachelor’s degree preferred. 

EXPERIENCE: Three to five years administrative secretary/administrative assistant experience required.  Previous healthcare administrative experience preferred.
