Executive Assistant
Responsibilities Related California is looking for a professional Executive Assistant to support a team of Vice Presidents and Project Managers. This individual will be based out of the San Francisco Office. Responsibilities include, but are not limited to: Schedule and coordinate meetings both on and offsite; manage busy calendars of appointments for up to 6 executives. Prepare and process monthly expense reports and track reimbursements, as necessary. Arrange travel, including airline, hotel, and car service reservations. Act as gatekeeper and primary point of contact between internal staff and management. Compile documents for meetings including DocuSign routing. Manage communication channels such as screening phone calls and drafting emails. Communicate and notify team member(s) on updates in regards to respective projects. Maintain filing systems and ensure the proper retention, protection, and disposal of records; manage data entry and record-keeping tasks including scanning and electronically filing mail. Assist Office Manager with day-to-day office operations as well as administrative staff with administrative coverage as needed. Compensation $36.06 - $40.87/hour Annual performance based bonus Qualifications Minimum of 3-5 years of administrative experience. Experience supporting multiple executives and working in a corporate environment. Must have a high level of professionalism and maturity. Excellent verbal and written communications skills. Strong multitasking capabilities and time management, excellent organizational skills. Proficient in Microsoft Office; strong knowledge of MS Outlook, Word, Excel, PowerPoint. Comfortable in a fast-paced environment. Bachelor’s degree required. Notary Public certification is a plus. Related values diversity in backgrounds and experiences.
