Executive Assistant

Job Description:

We are looking for an Executive Assistant to support the Global Pet Nutrition Leadership team based in Europe based in Paddington.

The candidate must have excellent communication and organisational skills, be able to make sound judgements and decisions when required, provide solutions to key issues which arise and the ability to effectively collaborate with senior leaders and peers. The role is hybrid with 50% required in our Paddington office and there will be occasional needs to travel to support leadership team meetings. The role reports directly to the Global Executive Administration for Pet Nutrition Effectiveness Manager.

What are we looking for?

Experienced EA dealing with international calendars and different time zones.Flexibility to be working from the office in Paddington and travel for events with the team when required .Ability to support different projects and agendas of associates within the Executive team.Being a good communicator and proactive is key to the role.

What will be your key responsibilities?Act as first point of contact for the Directors for any requests, calls, or meetings – both internally and externally, providing exceptional administrative support to the directors. This will include pro-active diary management, anticipating events and deciding upon action required, acting upon key requests, and resolving issues as they arise.Planning & executing complex and fast changing domestic and international travel including all transportation and accommodation. Obtaining all necessary visas and travel documents through company travel agent. Attention to detail is key to this role.Raise Purchase Orders on behalf of the directors using Ariba and ensuring suppliers are paid on time.Reconcile expenses for supporting DirectorsPlan other management events during the year including contracting hotels, ground transportation, meeting facilities, caterers, restaurants, etc.Being part of the Global EA Team of Pet Nutrition to learn and implement best practice for your Directors.
