Executive Assistant
The Executive Assistant is responsible for providing executive-level support to the VP of Product Development and Merchandising while managing a wide range of administrative tasks to optimize the effectiveness and efficiency of the team’s production and development.

ESSENTIAL JOB RESULTS-

Provide executive level support to the VP of Product Development and Merchandising. Additional duties and responsibilities may include but are not limited to the following:Calendar management, expense reporting, travel arrangements, meeting arrangements.Prepare and distribute various forms, PDF, Word, Excel, PowerPoint documents, etc.Prepare and submit travel requests and expenses.Coordinate in-person/online meetings for the VP of Product Development and Merchandising including scheduling, planning, printing, and shipping.Purchasing and organizing store bought samples as directed.Assist the team with SkechForce and approvals.Manage communication including emails and phone calls.Maintain files, contact lists and databases; preserving, organizing, scanning, updating records, and distributing (where approved and applicable), including but not limited to public network drive, intranet, physical/electronic records, etc. (all according to company information governance policy).Outreach to IT for technical support as needed.Coordinate with division Merchandisers, Technicians, and Product Managers daily.Review first production cases to ensure production matches confirmation samples.Perform various assignments, duties, and assist with projects to support the Division.Help resolve daily issues that come up within the department.Liaison between all Divisions across the company.Onboard new team members and work closely with HR/Recruiting/IT to ensure proper set up prior to their arrival.

EDUCATION AND EXPERIENCE-

Bachelor of Arts degree in business, communication, marketing, or related experience is preferable.3+ years of progressive administrative and/or coordinator experience, including support of multiple managers and involvement in concurrent project coordination.Working knowledge of the following platforms is helpful:Concur (travel and expense management)DocuSign (electronic signature and agreement cloud)Dropbox (file hosting service)Excellent computer skills: Microsoft Office 365 (Excel, Forms, OneDrive, Outlook, Power Automate, Adobe Creative Suite, Miro, Word, Google Docs, PowerPoint, SharePoint, Stream, Teams, Word, etc.)Ability to learn additional platforms.

The pay range for this position is $70,000-$85,000.
