Executive Assistant
Description We are offering a contract to hire employment opportunity for an Executive Assistant in Irvine, California in the Financial Services industry. This role involves crucial support to our CEO and the wider team, requiring a keen attention to detail, proficiency in MS Office Suites with a focus on PowerPoint, and experience working in mid to large size companies. The position demands full onsite presence and may require overtime work. Responsibilities: • Serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the CEO • Organize and maintain the CEO's calendar, schedule meetings, and manage travel arrangements • Facilitate the preparation and editing of correspondence, reports, and presentations, ensuring precision and accuracy to prevent any typographical errors • Use various software tools including Cisco Webex Meetings, Concur, CRM, Kronos Timekeeping System, About Time, and Microsoft PowerPoint to enhance efficiency and productivity • Handle confidential information with discretion, adhering to company policies and procedures • Implement and monitor programs as directed by the management, and see the programs through to completion • Generate reports, handle multiple projects, and prepare and monitor invoices and expense reports • Coordinate with the Senior VP for admins and other team members on project development, deadlines, and execution • Maintain a professional and approachable demeanor as a representative of the CEO and the company. Requirements • Minimum of 3 years' experience as an Executive Assistant, preferably within the Financial Services industry • Proficiency in using MS Office, including Word, Excel, and PowerPoint • Experience with Cisco Webex Meetings, Concur, CRM, and Kronos Timekeeping System • Familiarity with the 'About Time' tool • Proven skills in calendar management, including scheduling and coordinating meetings • Excellent communication skills, both verbal and written • Experience in managing conference calls and correspondence • Ability to maintain confidentiality and handle sensitive information with discretion • Demonstrated ability to multitask, prioritize, and work under pressure to meet deadlines • Strong problem-solving skills and the ability to make decisions under pressure • High level of professionalism and strong interpersonal skills.
